  • When a DIT tutor starts their shift, they will log onto Teams and provide their meeting id and subject for that day.
  • Student associate will add this info to Google Sheet
  • click on the Personal Meeting ID for the DIT Zoom Room for their subject.
    • The meeting ID's should be recurringare the same each day, so they should will be the same ID for the shift the entire semester. Please put this on the Tutor schedule sheet where I put "Meeting ID"
      • One-time Shift change ID's will be put on the first sheet of the google sheet. 
    Student Associates, please remain in contact with the other SA on duty.

Via Email:

  • Students will email the dit.desk@austin.utexas.edu email to request access to a DIT tutor. 
  • Student associate will send them both of the tutors link who is on duty for that subject
  • If a Tutor has problems in their room, they will message you through the DIT Teams Team.

Via Intercom:

  • Student users will use the chat feature on the homepage to access DIT.
  • Student associates will obtain the EID and Subject they are there for before sending the Zoom ID  and the community guidelines while attending DIT. (See Communications Templates)
    • You (the Student Associate) will need to get the student EID and which subject they are here for so you can log them into myUGS.!
    • Once you have the student's EID, chat the corresponding tutor the student's name and EID, so that the tutor knows the student(s) attending the session. Move the email request to the corresponding folder for the request. This will let you and the other SA clearly see who has not been emailed in the inbox.

Via Zoom:

  • The student
    • provide them the Zoom ID and community guidelines.
    • If you are in the middle of a chat when your shift ends, finish the chat if possible and log off. If the chat is more complex, let the next SA know and you can move it to them. 

Via Zoom:

  • Each morning when DIT opens, the SA's will be logging into 3 Zoom accounts to open the personal meeting room for that day. You will admit the tutor for the first shift, transfer hosting to them, and leave the room.
  • The student users will access the Zoom meeting where they will work until they have a question, at that time they will put a note in the chat feature that they have the next question.  The tutor tutors will be monitoring the chat to directly talk to the students.  
  • When it is time for that tutor to leave, the student associate will provide the tutor with the next tutors meeting id via Teams. This is so the students who wish to continue can switch to the new tutornext tutor should already be there. They will transfer hosting privileges at that time.
  • The tutor may reach out to the student associate to say they have too many students or that they are leaving leaving without another tutor there via Teams.
    At the end of the SA shift, please reach out to the tutors that you have given students info on, and see if they have any students in their zoom. You can reach out via Teams.


Tutor No Show and other Issues:

  • You should all have access to seeing the tutor shift changes on myUGS.
    • Click the Drop-In Tutoring menu, then go to "Shift Covers"
    • If a tutor hasn't shown up yet, check that  page to see if some other tutor was meant to attend. Their meeting ID will be put on the One Time page of the google sheetThey should still be able to access the Zoom Room.
    • Let Kate know if this hasn't shown up for you.
  • If a tutor does not show up for their shift and there are no changes on myUGS, please let Ed, Izzy, or Darcy know by emailing TS_SUT@UTlists.utexas.edu
    • Any other issues can be sent to that email as well. The UGA's are also available to you after 5pm.
  • We usually will have more than 1 tutor on duty, but it is important to let us know when someone isn't available.
