  • The meeting ID's should be recurring, so they should be the same ID for the shift the entire semester. Please put this on the Tutor schedule sheet where I put "Meeting ID"
    • One-time Shift change ID's will be put on the first sheet of the google sheet.

Via Zoom:

  • The student will access the Zoom meeting where they will work until they have a question, at that time they will put a note in the chat feature that they have the next question.  The tutor will be monitoring the chat to directly talk to the students.  
  • When it is time for that tutor to leave, the student associate will provide the tutor with the next tutors meeting id via Teams. This is so the students who wish to continue can switch to the new tutor.
  • The tutor may reach out to the student associate to say they have too many students or that they are leaving via Teams.
  • At the end of the SA shift, please reach out to the tutors that you have given students info on, and see if they have any students in their zoom. You can reach out via Teams.Check AT and upstairs in DIT
    • Erase dry erase boards, restock dry erase markers (2 for each board), push in chairs, general tidying up
  • Check the Tutor Message Board- full sheets (green) are stored behind the desk in DIT
  • Check if dry erase boards are dingy and clean as necessary. Dry erase board cleansers are located in the cabinet behind the desk in DIT
  • Keep tutor nametags organized and alphabetized
  • Keep a good supply of tutee nametags on hand- ask admin to print additional as needed
  • Make sure copier is loaded with at least one full ream of paper
  • Dust Front Desk and reception area
  • Clorox front desk area
  • Maintain inventory (including pens, pencils, post-its, staples, Clorox wipes, tissues, copy paper, dry erase markers)-if anything is needed, let admin know
  • Check scratch paper in both DIT and AT area (refill with either scrap if we have it or plain copy paper)
  • Check handouts wall periodically throughout the day and make copies if needed 
  • Log Lost and Found items (on log in cabinet OR contact supervisor if high value items) i.e Laptops, Passports, Phones, Government Issued ID, etc...
  • If there are dead calculators bring them to admin 
  • Closing:
    • Notify students and tutors of closing at the 15 minute mark and at the 5 minute mark.  
    • Check handouts wall and make copies if needed
    • Ensure all students have left the mezzanine
    • Turn off lights
    • Log off of the computer
    • Push in chairs and arrange tables/whiteboards
    • Close door
    • Return the condom bowl in AT area to Main


For after-hour problems concerning the building, please call Maintenance: 1-2020.

If a problem arises during business hours, please notify Admin. After 5pm, contact the UGA (Undergraduate Assistant on staff). 



Tutor No Show and other Issues:

  • You should all have access to seeing the tutor shift changes on myUGS.
    • Click the Drop-In Tutoring menu, then go to "Shift Covers"
    • If a tutor hasn't shown up yet, check that  page to see if some other tutor was meant to attend. Their meeting ID will be put on the One Time page of the google sheet.Let Kate know if this hasn't shown up for you.  
  • If a tutor does not show up for their shift and there are no changes on myUGS, please let Ed, Izzy, or Darcy Justin know by emailing emailing TS_SUT@UTlists.utexas.edu
    • Any other issues can be sent to that email as well. The UGA's are also available to you after 5pm.
  • We usually will have more than 1 tutor on duty, but it is important to let us know when someone isn't available.
