Encrypting Email to send protected health information (PHI) should ONLY be used when there is no other way for you to send PHI that is accessible to your correspondent and your correspondent is not a patient or the correspondence does not belong in the patient chart.

  • Compose an email in Outlook Desktop (with or without attachment)
  • In the email message window, choose Options (1), select Encrypt (2) and pick Encrypt-Only (3)
  • An "Encrypt-only" message (4) will appear above the Send button to confirm that the email is encrypted.
  • Send (5) your message.

  • Compose an email in Outlook Web (with or without attachment)
  • In the email message window, choose Options (1), select Encrypt (2) and pick Encrypt- (3) from the drop-down menu.
  • An "Encrypt" message (4) will appear above the Send button to confirm that the email is encrypted.
  • Please note that you have the option to check "Request delivery receipt" and/or "Request read receipt" (5) here as well.
  • Send your message.
