Zoom - Hosting a Meeting

Launch Zoom

  • In the top-right of the Zoom window, there is a View window
    • The Speaker view is the most commonly used
      • This will only display the video of the Attendee who most recently spoke
    • The Gallery view is used for large Meetings so that all Attendees can be seen

The Main Toolbar

  • The main toolbar is located at the bottom of the Zoom window

  • The Audio and Video controls are in the bottom-left of the Zoom Window
    • These controls allow you to easily mute/unmute yourself or start/stop your camera
  • The Security options allow the Host to tightly control the Meeting and permissions

  • Polls can be created to allow for more engaging Meetings
  • The Share Screen options allow to Host to control permissions, share their own screen, or stop an attendee's share

  • Basic Sharing options allow you to select either a full monitor OR a single application

  • Advanced Sharing options allow for custom instructional experiences

When Screen Sharing PowerPoint using only one monitor

Basic Sharing options include sharing your desktop, a specific application window, a whiteboard, or an iOS device

When using PowerPoint make sure to share the program, then enable presenter mode


Windows steps

  • Share your screen using the ZOOM toolbar. Make sure to select 'Screen' option for this to work.

If you do not see the ZOOM toolbar press both the alt + tab + keys to cycle through apps. Now select ZOOM to screen share.





  • After sharing your screen, right click anywhere on your presentation and select 'Show Presenter View'.

    This keeps the notes and presenter view visible for the sharer while only displaying the presentation itself to the viewers.

  • Share your screen using the ZOOM toolbar. Make sure to select 'Screen' option for this to work.

  • The toolbar moves to the top of the screen while Sharing content

  • Clicking on More in the top-right will list other options for Sharing

  • While Sharing content, Annotations can be added to the screen being Shared


Other Features

  • If working groups need to meet separately during the meeting, the Host can use Breakout Rooms

  • Attendees can use the Reactions options to interact with the Meeting without needing to unmute themselves

  • When the Meeting is over, click on End, and End Meeting for All
