Dates in Workday - Employment Beginning and End

Academic assignments (TA, AI, faculty) effective 8/16/2024

  • In general, semester dates should be followed: 8/16-12-31 for fall, 1/1-5/15 for spring.
  • If a TA or AI graduates, loses authorization to work in the US, or works in the spring but will not return in the fall, the Last Day Worked is actual last day and Termination date is the end of that semester
  • If a faculty member loses authorization to work in the US during the semester, Last Day Worked is the actual last day and Termination date is last day of that semester

First work day

  • If the 1st is on a Saturday, Sunday, or Holiday and the employee is on payroll on the first work day of the month (usually Monday), then Hire date is on the 1st.

Holiday rules

Note: An employee is "on payroll" if they work or use paid time off any part of the day.

  • Holiday at first of the month: Employee must be on payroll the work day after the holiday.
  • Holiday at middle of the month: Employee must be on payroll the work day before and the work day after the holiday.
  • Holiday at end of the month: Employee must be on payroll on the work day before the holiday.

Leave and Unpaid Time Off

  • If the 1st of the month is on a Saturday, Sunday, or Holiday and the person is on Leave or Unpaid Time Off for the full day on the first work day of the month, the Leave or Unpaid Time Off begins on the 1st.
  • If the last day of the month is on a Saturday, Sunday, or Holiday, and the employee is on Leave of Absence on the last work day of the month, Leave ends on the last day of the month. Unpaid Time Off can end on Friday.
  • If the last day on Leave of Absence is Friday, extend the Leave through Sunday. Unpaid Time Off can end on Friday. 
  • If the employee is on Unpaid Time Off for part of the day on the day before or day after a holiday, do not record Unpaid Time Off on the holiday.

Termination

  • If the last day of the month is on a Saturday, Sunday, or Holiday, and the employee is on payroll on the last work dayTermination date is the last day of the month.
  • If the Last Day of Work is Friday, the Termination date is Sunday.
  • Exception: If termination reason is dismissal, Termination date can be the same as the Last Day of Work.
