END OF SEMESTER SCREENING DELIVERY PROCESS - Advanced Classes - 5.1 Audio
Hello (Instructor and Teaching Assistant,)
I see your end of semester class screening is scheduled (Day and Location.) Here are some wikis and instructions for delivery of student’s films for the screening. Our team will handle the preparation for the screening.
Your student’s screening files need to be turned in by (Day and Time). You should choose to have your students turn their files in earlier so you have time to review this and assemble the playlist for us. This time is when we need the files to assemble your screening. Any films delivered later cannot be included.
Here's the procedure to follow:
Captions - REQUIRED
You must also deliver a Closed Caption file as a .srt for the technical staff to add as a burn in to the screening reel.

Deliver the .srt files with the final quicktime using the same name as the screening file.
Content Warnings - REQUIRED – NEW INFO FOR 2026
For the screening, you must indicate appropriate content descriptors for your film both in the program and as a bug in the top left corner of the frame at the beginning of your film. Please choose the appropriate Netflix content descriptors from the list below that pertains to your film. The tech team has put together templates for Avid, Premiere, and Resolve - please use those and do not create your own. You can find the templates and wiki here.

The content warning will be baked into your DCP for our screening. Afterwards, you can request a “clean” DCP from Keefe if you export him a version without the bug.
Branding and license for use
Required for all MFA Production and Undergrad Thesis films that will screen.
1 Logo Disclaimer (MFA and UG Thesis)– You must include the department’s logo and disclaimer statement in the end credits. Please read over and sign the logo usage agreement. Once you sign the agreement, DocuSign will send an email to the email address you entered that contains the link to access the logo treatment files. The disclaimer statement is: “This film is solely the creation of the filmmakers and is not intended to reflect the views or values of The University of Texas at Austin.”
2 Detailed Info for UT archives (MFA)- Fill out the Student Film Directory form to the best of your abilities with details about your film. Please note that this info is what will be used to make a program for the screening. If you, as a group, would like to make your own program, that’s fine, as long as it contains content descriptors. Please let me know ASAP so I can let the office know.
3 License for Use agreement (MFA) - After you complete the Student Film Directory form listed above, you will receive an email request from DocuSign to e-sign a “License for Use” agreement. Please sign it immediately. This permission form is not signing away your ownership rights but rather granting UT permission to screen and share your film. Without this authorization, your film will not be eligible to screen at public screenings on campus. If after the public theatrical end-of-semester screening you would prefer—for the protection of, say, a festival run—that we wait 2 years to share your film on any public sites, etc., please check the box requesting a 2-year embargo. Note that you can also request an extension of the embargo at any time. If you do not receive the DocuSign request within two days of filling out the student film directory form, or if you have questions about this agreement, please email milaka.falk@austin.utexas.edu.

Name the exported file with the Final Title and Director’s Last Name. Exp: Final-Title_Student-Name.mov
How to deliver the files for screenings.
Put screening files on temp_transfer - accessible by the "shares" icon on the dock of RTF Mac computers in the labs (CMB 4.114, CMB 4.120, CMA 4.138, CMA 4.142, CMA 4.144, CMA 4.150, CMA 4.152) using your EID and password.

Moody Labs Server Access – Class_Folders and Temp_Transfer - Macintosh
We’ll make special folders for files to be turned in on the Monday before the screenings because the temp_transfer server gets wiped Monday morning.
Within temp_transfer, there will be an appropriate class folder TITLED BY THE "CLASS NAME - PROFESSOR NAME" EX: RTF366K – Narrative Production — ProfessorBob
You’ll also need to get us a program of the files that are screening so we know the screening order. We will need the screening order list when your student’s films are due. Please review the temp_transfer folder on the due date and time and follow up with your students if they are missing their delivery deadline.
