(Archived) Determine what to scan and what not to scan





Not every document that we receive in our office will need to be scanned and imported into the Meridian vault. However, determining what to scan and what not to scan may not always be easy. As we progress with the implementation of the Meridian system, we'll develop a better set of rules (with specific examples), but for now, use the following guidelines:

What to Scan

  1. Official records, documents and communications received via mail, meetings, courier, etc.  Refer to the #What Not to Scan list for exceptions.
  2. If you aren't sure if a document should be scanned and imported, ask Beth, Amy or the recipient.  And if you still aren't sure, it's better to scan and import the record and remove it later.

What Not to Scan

  1. Transitory materials.
  2. Non-VPUO Portfolio reports and studies that are available online.  Scan only the cover letter and be sure a link to the full document online is included.
  3. CIP Program Documents.  Scan the cover pages and the signature page of the booklet only.
