The TrackIT Interface

Overview of the Interface

As a user with the Viewer level of permissions, you can use TrackIT to view the Hardware links (Purchase Orders, Inventory, and Search), and Software links (Inventory and Search).

On the TrackIT home page, the menu bar at the top left of the page (or, in a smaller window, the navigation menu in the top right of the screen) lets you navigate to the other sections of TrackIT:

On the home page, below those menus are lists of links to the same options, as well as descriptions of the functionality of each option. These options are the primary cataloguing service of TrackIT, allowing you to view assets assigned to your group.

 

You can view assets as lists in tabular format, sorted by several different factors; you can also search for a particular asset within its category. In a table, to sort by a factor, click on the desired column header. Assets display in numerical order or alphabetical order, depending on the type of information in the column you select. For example, in the Hardware Inventory view, clicking on the PO column header sorts the list of hardware assets in numerical order of purchase order numbers.

 

You can also click the small up-and-down arrow icon next to the column header to toggle between sequential order and reverse order.

 

In the Hardware Inventory view, you can also export an inventory list in CSV or PDF format or print it directly from the application. To do so, click the CSV, PDF, or Print buttons.

Deployment Status in the Hardware Menu

In the Hardware Inventory view, users frequently need to check Deployment Status. This column tells where the equipment is as it goes through the handling process—being assigned to the associated user, taken back from a user, moved to the Depot, etc.

The meaning of each deployment status label is explained below.

Depot: The equipment is currently stored in the DSS Depot. The Depot program gives departments access to repurposed computers (usually 3-6 years old), providing a cost-effective way to acquire equipment for students, interns, and staff.

Staging: The user has contacted the DSS team to book a time to set up their equipment; DSS is preparing the equipment for the the assigned user.

Deploying: The equipment is scheduled to be deployed—in most cases, handed to the user.

Complete: The asset(s) has been deployed to the user. No further action is expected.

Storage: DSS is currently holding the department or unit's assets for them. 

Department Hold: The department or unit has requested to hold onto the equipment.
