Guide

Welcome to Jessen Auditorium!

This guide will help you set up everything here. The Butler School of Music has a page with information about the auditorium.

Overview of Steps:

  1. Go to Control Room to turn on breaker panel for the auditorium lights
  2. Go to the stage to turn on the house, stage, and other lights needed
  3. Go back to the control room to turn on microphones, audio, projector, and projector screen as needed
  4. Go back to the stage to set up the computer at the podium

Start Up

Control Room Breaker Panel

  1. After entering the control room, turn on the switches in the breaker panel on the wall opposite the door.  The switches that need to be turned on are labeled "First","Second", and "Last", this is the order they should be turned on.
  2. If the breaker panel is closed, push silver tab below lock to reveal a pull tab.

Lights

  1. Lights are controlled on the stage at the podium (the white panel in the photo on the right):
  2. Lights are controlled on the stage at the podium using one of 9 presets:
  3. For Architecture events hosted in Jessen; use the following lighting presets.
    1. Off: Off.
      1. All lights off, only used for startup/shutdown process.
    2. Preset 1: House Lights.
      1. House lights on
    3. Preset 8: Presentations where the speaker is the focus and slides are a secondary.
      1. House lights lowered, low stage lights for introductions/presentations
    4. Preset 9: Presentations where the slides are the focus and a spotlight to illuminate the podium for a speaker.
      1. House lights on dim, no stage lights, spotlight on podium

Mics, Audio, Projector

Prepare Microphones
  1. There are two microphones in the cabinet below the two projectors.
  2. Bring fresh AA batteries for each use.
  3. Turn on the wireless microphone on the desk (simple on/off switch).
  4. Do a quick test to ensure that the microphone is working. If there is no sound, pull out the switchboard (drawer slides out from under desk) and:
    1. Slide the "LAV Mic" slider up mid-way (control mic volume).  Adjust this slider if the volume is too loud or has an echo. (add photo with the lav and hand-held circled on the switchboard)
    2. Slide the "Master" slider mid-way on the panel (marked in the red circle below). It controls the volume level across the board.
    3. If neither of these work, call the IT help desk for assistance (471-1189).
Audio Switch Panel
  1. Adjust the "stage HDMI left and Right" sliders to adjust the computer volume.  Other setting that you may need to adjust are also marked in red below:

  2. Open the wooden window doors to the auditorium and check for obstructions on the stage and move them accordingly (piano, pushed back lecturn, etc).
Set Up Presets
  1. Flip the "Screen" switch to drop the projector screen.  (Note: adjacent lighting panel is no longer functioning, controls for lighting are in a panel on the stage podium)
  2. To the left of this control box, use the projector remote to turn on the projector (Use the "Power on" button on the top left of the Panasonic remote). If this doesn't work, check the main power toggle switch along the right panel of the projector (It's hidden but there!)

Stage

  1. HDMI adapters are provided on the HDMI cable
  2. Power outlets for laptops are on the floor electrical outlet near the stage right wall (left photo).  DO NOT USE THE ELECTRICAL OUTLETS BENEATH THE PODIUM!
  3. If you are not seeing video, it means the power and/or ethernet have been disconnected beneath the podium.  Check the electrical box beneath the podium (right photo) to ensure everything is plugged in.
    1. There is an umbilical power cable, a standard power cable, and an ethernet cable. The ethernet cable must be plugged into this box (input is labeled 'blue plug') as well as into the Crestron box inside the podium (right photo). On the right side of the stage, connect your computer to the HDMI outlet.

The auditorium is now ready for use!

Common Problems

The most common errors are related to connecting the computer at the stage.

  • No video? Check the electrical box beneath the podium. In most cases, someone has mistakenly used this box to power their laptops and unplugged something critical. Please use the outlets on the floor near the wall to charge your devices.
  • Did you connect your computer using the HDMI outlet?
  • If there is still something you can't figure it out, call the IT help desk for assistance (471-1189)
  • No Audio from Computer, Check that your audio is set to the device "Crestron"
  • No internet, pull the grey network cable from the stage Black box to the left of the podium and connect it to your laptop. If a adapter is required, check the ring on the HDMI Cable for a USB-C Network adapter.

Shut Down

In brief, do a reverse of the Start-Up instructions.

  1. In the control room, double click power on the projector remote to turn it off.
  2. Flip the "Screen" switch to raise the projector screen (unless you know the next user will need it, we do this out of courtesy to the music department users).
  3. Close the doors on the windows (to prevent theft).
  4. Turn off the microphone. You do not need to adjust the volume sliders in the control drawer.
  5. Turn off the breaker switches in reverse order numbered.
  6. Turn off the lights and lock the doors behind you (both the control room and the auditorium). Please remember to return the keys!
