NRJGCMCF: Conflicts Report

This report tells us when there is a conflict in a GPC
Report is read left to right comparing CSN1, UNQ 1 etc. on the left with CSN2, UNQ 2 etc. on the right

Known conflicts

    • If it's the same professor for both sections it should be fine
    • If it's the same course meeting together for timeline 2
    • Language classes meeting together for TL2
    • Departments using a room during their departmental control

Any other type of conflict should be investigated

  1. Formulas
    1. Add 8 columns between 'INC' and 'CORE CODE'. Even if you are only using 1 formula you must make 8 columns and place the formula specifically or modify the formula
    2. Copy paste formulas from a previous combined TLs

Tools needed:

  • Class Manager- for making notes on the HRS TBA.
  • The Hours To Be Arranged Report

The purpose of this report is to check/make sure that the classes are meeting for at least the minimum required time per Course Schedule meeting hours/timeline and the required meeting hours per course inventory. (More time is fine)

Column Information

  • Total Mtg. Hrs.: Total hours the class meets per the Course Schedule timeline
  • Total Req. Hrs.: Total contact hours the class is required to have per THECB reporting/Course inventory
  • To Be Deleted (Cancel-Sw.): If there 'A', the section is cancelled and you can skip (section is cancelled, N/A)
  • SS #1: If 'A', 'Hours to be arranged' standard statement is applied to section in Course Schedule. Should only be marked for classes with no timeline/Total Mtg. Hrs.-='0'.
  • SS #5: If 'A', "Lab hours to be arranged' standard statement is applied to section in Course Schedule. Should only be marked for classes with no Lab Hours/Required Hours>'0'.
  • SS #10: If 'A', "Additional hours to be arranged' statement is applied to Section in Course Schedule. Should only be marked for classes with additional hours to be arranged/hours<'Total Req. Hrs.'

Working the report
Note that summer hours need to be calculated differently; see the 'Summer Hours Report' section for more information.

  1. Evaluate each line/class separately. If the class is meeting for the total required hours (or the 'Total Mtg Hrs column is greater than or equal to the 'Total Req Hrs'), that class is meeting for the total required hours; it can be checked off, and you can move on.
  2. If the section does not have a timeline (so there are no 'Total Mtg Hrs', there should be a corresponding SS #1 (hours to be arranged)
    1. If there is not, add this statement in Class Manager (via the notelines field), with the log note of 'CSP- no timeline, must arrange meeting time'
  3. If the class is meeting for a few hours (has a timeline), but the Total Mtg Hrs is less than the Total Req Hrs, the section should either have a SS#5 or SS#10 (Lab/additional hours to be arranged).
    1. If it does not, this statement should also be added via Class Manager (via the notelines field), with a log note of 'CSP –total meeting hours < total required hours'

  • Same as above
    • Hours report
    • Class Manager
  • Standard Class Meeting Times: Summer Session document

Working the Report

  1. Working the report is overwhelmingly the same, but the chart found on the 'Summer Scheduling Hours' document should be used to translate the required meeting hours per week into how many hours a week the class must meet depending on their corresponding session.
  2. Use the total hours needed for week found in step 1 above to compare to the 'Total Mtg Hours' column on the report. If the number is less than the hours the class is meeting, the 'Additional Hours to be Arranged' statement should be added via CM

Useful Tips

  • The session is indicated as a letter directly before the course number; for example, ARC F350R is a first session class
  • Treat the 'Credit Hour Value' and the 'Hours per Week' sections of the Summer Scheduling Hours chart as a fraction; whatever you do to one side, do to the other. For example, we know a 3 credit hour class in the nine week session must meet for 5 hours. If we need to know how many hours a 9 credit hour class should meet for, we would multiply each number by 3 (so the class would need to meet for 15 hours a week).
  • In the log note, it is helpful to leave a more detailed explanation to avoid confusion. For example, CSP – 3 total required hours during the summer first session requires 7.5 total meeting hours per week.

...

  1. In the below example, the hours report is being worked for a summer session. The highlighted class below is a first session summer class (indicated by the 'F' in ARC F350R), that has a total meeting hours per week requirement of 3 (as seen in the 'Total Req Hrs' collumn.

  1. First session summer classes that require 3 hours a week must meet for 7.5 hours a week during the summer (as seen below)

  1. As the class is only meeting for 5 hours a week (see 'Total Mtg Hrs' column on the report), the class needs additional hours to be arranged.
  1. In Class Manager, add the 'Additional Hours to be Arranged' statement, with a log note describing why the section needs additional hours
