How to Confluence

Welcome to the Longhorn Racing Solar Confluence workspace! Confluence is our most important platform, as it is intended to house the collective knowledge for the team. To that end, it is critical that every member be a part of the Confluence, and actively contribute to bettering it.

This guide will help you get started with your account and navigate the workspace effectively.


1. Creating Your Account & Login

  1. Create a UT Wiki/Confluence account.

  2. Click Sign Up or Log In.

  3. Use your UT EID email:

    • [eid]@eid.utexas.edu

    This will redirect you to the UT login page with Duo two-factor authentication.

  4. Once your account is created, notify the team lead.

    • A team member will grant you:

      • Edit access to pages you need to contribute to

      • Read access to private pages

2. Confluence Navigation & Setup

Confluence pages are organized into categories based on content type and accessibility:

A. Team & General Information (Private)

  • Access: Solar team members only

  • Content: General administrative items, non-technical information

  • Example: Policies, contact lists, internal procedures

B. Knowledge Database (Public)

  • Access: Viewable by everyone

  • Content: Technical information that is not season/car-specific

  • Purpose: General documentation, how-tos, organizational guides

C. Season Pages (Public)

  • Access: Viewable by everyone

  • Content: Car-specific documentation for each season

  • Purpose: Design decisions, season-specific builds, and documentation

D. Meeting Minutes (Private)

  • Access: Solar team members only

  • Content: Meeting minutes organized by season and system

  • Purpose: Keep track of discussions, decisions, and action items


3. Best Practices for Creating and Managing Pages

  • Global Page Names: All page names are global (not tied to folders or subpages).

    • Always include clear details in the page title (e.g., “04-20–2069 [System] Meeting minutes” instead of just “04-20–2069 Meeting minutes”).

  • Sensitive Information:

    • Keep all private/sensitive information on SharePoint.

    • If sensitive information must exist on Confluence, set proper viewing permissions but avoid placing it there if possible.

  • Page Placement:

    • Always double-check the correct location before creating a new page.

    • Misplaced pages can cause confusion and may need to be moved later.
