Contracted Travel Agents
All business-related air travel must be arranged through Anthony Travel or Corporate Travel Planners. Both agencies utilize an online booking tool called Concur.
Exceptions to this policy:
Travel costs are borne by an entity external to the university.
Emergency situations (flood, hurricane, etc.).
Traveler obtains airfare from an alternate provider with $100 or greater savings compared to that offered by university travel agencies or found on Concur for the same itinerary. Must be an exact comparison.
Group or conference airfare or discounts not available through the university agencies.
Using Concur
› First-time users: register for Concur
› Returning users: log into Concur
› Complete user profile: Profile > Personal Information
› Initiate booking: Travel > Home
You'll initiate the booking by choosing the method of payment - either central billing or personal credit card - from the drop down menu at the left labeled "Rule Class."
- To pay through central billing, select UT Austin Travelers
- airfare cost will be debited from PI account
- airfare cost will be debited from PI account
- To pay via personal credit card, choose UT Business using Personal Credit card
- airfare cost will be charged to your personal credit card
- please note that the PI's procard cannot be used as the personal credit card
- To pay through central billing, select UT Austin Travelers
› Choose flights: Travel > Home > Air/Rail
Domestic round trip airfare should usually cost less than $400. Check with Niki or Marsha before booking if your airfare is more expensive.
› Confirm payment: Travel > Trip Payment Information > Choose a credit card
From the drop-down menu, select the "central bill" credit card or your personal credit card (listed in your Profile)
If using the "central bill" credit card, you'll be prompted to input the 11-digit alpha-numeric VE5 number found in your travel approval email.
Creating Master Itineraries
Online travel aides like TripIt and TripCase allow creation of master itineraries of flights, lodging details, meetings, etc. Accessible through desktop/laptop or mobile app. Sign up for a free account.
