Multi-repository archives online

Overview of different multi-repository initiatives online with special attention to the exploratory topics identified by the group. Everyone is welcome to update the tables with additional information or create new ones for other existing initiatives. This tool should allow the group to be aware of what other federated repositories are doing and identify best practices or issues to avoid. 

Online Archive of California (OAC)

Access to detailed descriptions of primary resource collections maintained by more than 200 contributing institutions including libraries, special collections, archives, historical societies, and museums throughout California and collections maintained by the 10 University of California (UC) campuses. Core component of the California Digital Library and administered by the Digital Special Collections Program.

 

Standards and metadata

EAD ; METS (for digital objects) ; MARC21 ; Collection guides and digital objects are assigned persistent identifiers according to a naming scheme called the Archival Resource Key (ARK).

how the contribution is made

Information for contributors; EADs or PDFs (for legacy finding aids! attached to the EAD with an extref tag) are submitted with voroEAd publishing system ; Contributing tutorial ; The submission of METS requires contacting California Digital Library (CDL) and submiting a sample batch, then publish the digital objects online and send URL to CDL ; MARC records are submited through voroEAD.

repository visibility

There is a repository level page with repository information, number of physical collections, number of collections with digital objects, geolocation (google maps) and list of collections to browse (e.g.); Link to the repository website from item and collection level (e.g.).

item level / archival context

The collection level allows the navigation through the series and subseries, with option to check the digital objects whenever they are present (e.g). However, the item level page with the digital object only keeps from the archival context the collection title and the repository (e.g.).

Northwestern Digital Archive

Access to archival and manuscript collections in Idaho, Montana, Oregon, Alaska, Utah, and Washington through a union database of Encoded Archival Description (EAD) finding aids. As of July 2007, NWDA is a program of the Orbis Cascade Alliance.

item level / archival context

Finding aid indicates that there is a digital object on the item level (e.g.), and the link will redirect to the repository website where the digital object is located, therefore archival context depends on origin repository ; in this example, the item level with the digital object only keeps the repository from the archival context ; there is no option of browsing or searching by digital object.

Rocky Mountain Online Archive (RMOA)

Source of information about archival collections in Colorado, New Mexico and Wyoming. The Rocky Mountain Online archive is managed by University Libraries at the University of New Mexico.

RMOA allows participating institutions to create new finding aids utilizing a web-based input form, but no documentation available.

item level / archival context

No item level navigation found ; They recommend the use of DAO tag on their best practices, but haven't found digital object embedded ; Some of the collections have an image associated without any metadata (e.g.) ; Seems like the digital collections belonging to the repositories are published on a diferent portal, Heritage West (simultaneously search digital collections from Arizona, Colorado, Kansas, Montana, Nebraska, Nevada, New Mexico, Texas, Utah, and Wyoming).

"Tools for contributors" leads to a login document management system ; "Western Archival Network information", updated on 2012, presentation with information about the project and the shared technical infraestructure (some information about the membership model).

Access to descriptions of archival collections, preserved and made accessible by Arizona repositories, including libraries, special collections, archives, historical societies, and museums. Through the collaboration of the Arizona repositories we strive to inform, enrich, and empower the researcher by creating and promoting access to a vast array of primary sources across the state of Arizona.

APE (Archives Portal Europe)

Access to information on archival material from different European countries as well as information on archival institutions throughout the continent. The project not only aims to build the Archives Portal Europe, but also cooperates with Europeana, to make archival material searchable and findable within its cross-domain approach of presenting cultural heritage objects from libraries, archives, museums, and audio-visual collections online.

Common European profiles of EAD, EAC-CPF, EAG (Encoded Archival Guide) and METS (additionally enabling the Archives Portal Europe to deliver standardised data to Europeana. EAG is a metadata shcema to encode the holdings guide of a specific repository.

Each partner is expected to convert his/her data into the common format before integrating them in the portal, using the specific tools downloadable on the site or the online tool available in the portal's backend.

The directory search leads to the repository level page ; Great amount of information for each repository and link to the existing finding aids within ;  The collection and item level include name of repository.
