Sending Collection Material For Storage at LSF
Archives
Collections must be have full description in an archival finding aid. Conduct quality assurance before sending out.
Only approved container sizes may be sent.
Workflow:
AAA obtains approval to send material to LSF. Contact Stephen Littrell to let him know: number of containers and their container types. Reiterate that this is archival material.
Stephen works with the Collections Management Cross Functional Team to approve
If approved, Stephen will let us know when we can send the material, as he has to work this into Ben's workflow schedule
Make sure Ben is included in subsequent emails regarding scheduling
AAA ensures descriptive metadata is correct. This is a 2 person job- one reads off the finding aid, the other confirms the container information. This is generally at the folder level.
AAA prepares LSF box label. Use the . "Restricted" refers to public access according to owning location. Ex. Alofsin has restricted material.
AAA prints and adhere box labels. Use the Box Label guidelines for prescribed label locations. Supplies: order labels via UTL supplies
AAA sends containers to LSF
Acquire hampers from (Barry) Scott Moore at the PCL loading dock. These are generally not available from CDL or LSF. (per email from Stephen Littrell, 10/7/19)
Mail hampers will hold approximately 12 record storage (banker) boxes or 36 manuscript (holinger) boxes
Pallets will hold 28-32 banker boxes (triple for holinger). Stack no more than 4 containers high. LSF can receive 5 pallets per week.
A mix of container types can be sent at one time.
LSF keys the metadata from the labels into their inventory system and generate their own Box Number and Inventory Number.
AAA- Once the entire collection has been sent, let Ben know and he will run a report that provides a spreadsheet with all data including the LSF Box Number and Inventory Number.
AAA reviews spreadsheet for any errors
AAA updates local access points- database; if desired, archival finding aid (EAD and analog)
