Types of Reviews

See the HR: Performance Appraisal page for an overview of review types.

Probationary Review

  • For staff who are new to the University and have been employed for less than 135 days

New in Position Review

  • For staff who are direct transfers from another position within UT.

  • Staff who have been in their new position for less than 135 days.

Both the probationary review and new in position review can be done in Workday or on paper. Contact your HR Partner for more information.

Annual Performance Appraisals

  • For staff who are appointed at half-time or more who have been with their current unit for at least 135 days.

Conducting Annual Appraisals

  • There are two options to conduct and submit a performance review.

Option 1: Performance reviews in Workday.

  • Contact HR Partner to launch the review in Workday.

  • You must ensure your direct report's job responsibilities are accurate PRIOR to conducting the performance review. To view responsibilities, go to the worker profile in Workday – performance tab.

  • If job responsibilities need an update and/or you need to initiate the performance review in Workday, please contact your unit’s HR partner.

  • Here is the training guide for performance appraisal process in Workday.

Option 2: Performance reviews outside of Workday.

  • You must take two actions – 1) complete paper forms, and 2) send completed forms to your HR Partner to upload to Workday.

  • See central HR templates (forms are under annual appraisal section) – or, if using your own, please closely mirror central HR templates (use the same rating scale).

  • Please contact your unit’s HR Partners to update job responsibilities, launch the appraisal, probationary review, or new in position review in Workday, or to upload paper forms and select rating.

  • If the employee has Flexible Work Arrangements (FWA), please indicate on the appraisal document in the comment section that it was reviewed and is accurate. Submit a new form if FWA has changed.

UT Policy requirements:

  • HOP 5-2310 requires that classified staff and non-faculty professional staff (including Postdocs) who are appointed 20 hours or more per week for a consecutive 135 days or more receive an annual appraisal.

  • HOP 5-2230 requires that staff members who have been in their role less than consecutive 135 days need an evaluation – either a probationary review if they are new to UT, or a new in position review if they are a direct transfer within UT
