Content Owners

To share content with buildings outside your own, you’ll need to collaborate with the content “owner” for each of those buildings to ask them to share your content. Sharing protocols are outlined further on this page.

Brand Bar

When sharing slides with another unit, you should use a template with a brand bar with your unit’s name at the bottom. (A brand bar isn’t necessary for the content you’re creating for your own unit on the screens in your own building.) We’ve created multiple templates to help people find an option that works best with their workflow.

Option 1: Canva templates

We’ve created templates in Canva that you can open and edit within your own account:

Option 2: InDesign templates

The InDesign file is set up with layers that include all the unit names. You can hide/show layers with your unit’s name within the template.

Option 3: Wallboard templates

We also set up a template for each unit with the brand bar as an overlay. For this option, each new slide you create within the template will include the brand bar for your unit at the bottom. You’ll need to add content for the master slide at the top. To access the templates:

Contents → UT College of Fine Arts → *Templates folder

To use the template

  1. Hover your mouse over your unit’s template

  2. Right click to show menu options

  3. Choose Content → Duplicate Content

  4. The duplicated content will now appear in the *Templates folder. You’ll need to rename this and move it to your own folder.

  5. To rename, hover over your your duplicated contents file and right click for the menu options.

  6. Choose Content → Rename Content and type in your new file name

  7. Choose Content → Move to Content Group

  8. A pop-box will appear with a drop-down menu, and you can choose the folder for your unit.

  9. Begin editing the slides with your content.

 

Sharing Protocols

For fall 2024, we’ll experiment with a few sharing protocols and then check in to see how that’s working for everyone. In summer 2024, we se the following expectations around sharing content.

  • When sharing content with a unit outside of your own, please use the brand bar template mentioned above.

  • We expect content creators to only share a few slides per month with outside units with your highest priority programs or programs that are most likely to have crossover appeal with the other unit. (We can’t all share all our slides in all the buildings.)

  • Slides shared with other buildings should not be expected to run more than two weeks ahead of the program.

We have a few options for sharing content across units, depending on how your slides were created.

Option 1: You can build static images of your files outside of Wallboard with the brand bar (using either the InDesign template or Canva template) and upload your files to your units files in the File Manager in Wallboard. If you use this option, you’ll need to contact building content “owner” to notify them what files you’ve shared and the sharing schedule for each slide.

Option 2: You can build the slides in Wallboard using the brand bar templates built in Wallboard. If you go this option, you can add the scheduling cycle for each slide in the Content for those slides. When you’re ready to share, you should move them to Contents → UT College of Fine Arts → *Shared Content. Once you’ve moved it, you should notify the building content “owner” that you’ve added content for them to incorporate in their schedule.
