  • Oversee Travel awards and professional development

Financial Management

  • Oversee Annual Department, Instructional budget and Graduate Program budget

  • Account and financial analysis

  • Endowment management

  • Grant/account support (interface with PRC as necessary)

Academic Administration

  • Collaborate with grad admin on budget related tasks such as TA assignments, events, scholarships, and other grad student/program funding matters

  • undergraduate scholarships (Maymester)

  • UGCA workday appointments

  • Liaison with Texas Global and API for Maymester

  • Planning, developing and executing department events

  • Entertainment purchasing, catering, payment processing

Seminar Coordinator

  • Visiting speaker support, schedule, travel, honorariums

Travel

  • Faculty and graduate student travel authorizations, travel reimbursements and awards

  • Conference registration

General Operations

  • Room reservations, classroom tech maintenance and updates

Community Engagement and Special Projects

  • Website and wiki updates; directories/contact info and email list-servs

  • Understand and communicate purchasing policies; develop/improve purchasing procedures for the department

Building & Operations

  • Space coordinator: renovations, office allocation, research space management, equipment maintenance, fire and safety, space audits, telephone audits, surplus removal, storage space maintenance

Research Administration

  • Participant incentives support (Tango, cash advance, gift cards)

  • Partner with lab personnel to support lab needs

  • Facilitate project manager workshops for cross-training and community building

Graduate Program Administration

  • First point of contact for grad student and grad program.

  • Liaison between Grad Program and the Department, the Office of Graduate Studies, CNS, the International Office, HR

  • Assist Associate Chair of Graduate Education and grad committees in scheduling, preparing, reporting for meetings, provide data requests

  • Maintain grad student records, handbook, alumni database and job placement

  • Take lead in grad program events, orientation, grad student events, welcome/end of year parties

Academic Employment and Funding

  • Process TA/GRA workday appointments, tuition payments, fellowships/awards

  • distribute, collect and file TA assignments, expectations and evaluations forms via docusign

  • Student annual endowment letters

Admissions and Recruitment Coordination

  • First point of contact for prospective students, work closely with grad admissions and recruitment committees

  • Develop and organize campus visit events and handle associated paperwork, purchasing, reimbursements, non-employee Travel Authorization paperwork
