a.       Purpose – Evolution of campus maps at UT. CMAP sets priorities & determines how those will be realized

Mike Horn convened a similar group a couple of years ago to inform the development of a campus map.  That map has been completed and is in production on maps.utexas.edu. The next iteration of the group is being called on to advise on evolution of campus maps, prioritize work, and determine how to best realize those goals.

Group agreed that meeting should be quarterly going forward.

Group suggested adding the following individuals/offices to the working group: David Rea, Juan Ontiveros, David Allison, and someone from the President’s Office. ACTION: Sue will reach out to PEF (David Rea and Juan Ontiveros) and Athletics (David Allison) to see whom they wish to include. Don Verett and Peter Sheets will replace Chief McMahan when he retires; it’s not necessary to add a representative from the Office of the President as Cindy will act as liaison.

Dr. Harkins provided a little bit of history on the Wayfinding maps.  The intent of the Wayfinding maps was to help visitors to campus find parking first and foremost, and then help them get around campus.  There are mini-visitor center information type signs in some garages.  Dr. Harkins suggested that TRECS take a look at the Master Plan to get more information.  Dr. Harkins asked whose responsibility it is to maintain the maps on the wayfinding pedestals as he's had PTS update them every couple of years. Liz said TRecs can own pedestal maps maintenance. Jimmy requested they be updated whenever a new building is added and Sue agreed. ACTION: Sue will work with Frauke to have new maps printed and installed.  The group agreed that since TRECS already updates campus maps when new buildings come online, they will “own” all mapping matters.  TRECS also maintains all official building inventory details information.  For this year's update Trecs will cover the cost of fabrication and installation of pedestal maps, but will need more explicit direction going forward.

There was general support for simplifying the color scheme for maps and aligning the web map with wayfinding maps. Jimmy suggested a solution that would allow the user to select an athletic building and all athletic buildings would be highlighted and/or all other buildings fade or turn gray. The category "Popular" is not resonating; a Special Events Category could contain Athletics, Museums and Performing Arts. Construction zones are important to many. Dr. Harkins advocated for keeping the visitor perspective in mind. ACTION: Sue will prepare two drafts for review: One will have only 3 colors/categories of labels (parking, buildings, dorms) and the other will have 4 (parking, general buildings, special events buildings, dorms).

b.      Launch new satellite campus maps

Next Sue reported that her group is working on mapping satellite campuses such as MSI, UT Elementary campus, etc.  Dr. Harkins expressed concerns about labels or descriptions used on security-sensitive buildings, in particular descriptions of buildings on USX; he asked that we revisit the guidelines (prescriptive formula) developed with Mike Horn. ACTION: Sue will distribute existing map guidelines. The group agreed that this is a good idea as long as the labeling of the buildings is consistent with the security guidelines and the working group has the opportunity to sign off on the maps before they go public.  The group requested that the most recent version of the map guidelines be distributed for review. General support was expressed for including remote sites on the maps page including a new "Campus Maps" menu item.

c.       Publish emergency call box map

Call boxes have been removed from the parking map, and will be added to Other Maps section. ACTION: Sue will explore options for including a PDF (printable) link in the HTML map. Sue indicated that Kim Johnson had been working on a map of all call boxes on campus. ACTION: Sue will provide most current map and Matt Dionne will review the data to ensure accuracy. Jimmy suggested "small group sidebar" discussion for capturing extensive call box data for upcoming GIS system.

5.       Wayfinding Demo for Dell Medical School from Leslie Wolke (9:40)

Leslie provided a demo of the dellmedschool.map-well.com website. The purpose of the mobile-friendly application is to facilitate finding public destinations including interior points of interest, and provide navigation from garages and along with bike routes. Public destinations have been identified by Christina Gutierrez at Dell Medical School. The scope of the application may expand to encompass Medical Zone that would include Seton and Brackenridge. Leslie is to work with Sue on transitioning users from one map to another. The application is scheduled to launch next month and will be found on the Medical School homepage, but no plan at this time for consolidating both map products.
