1. Introductions
Dr. Harkins reviewed the history of the committee for the new members. He spoke to how TRecs is pulling together different types of maps across campus, getting some consistency, and make certain that [UT] understand the needs and feels that we're making great progress.
2. Completed work - Wayfinding maps & campus map color scheme
Sue provided context to the group for the benefit of new members regarding alignment of the official campus web map colors with the recently updated wayfinding maps was done to demonstrate UT is approaching maps as a collaboration and not as individual map producers.
3. Current work
a. Emergency call boxes
Sue provided information about how TRecs has published a working version of the emergency call box map into our QUAl development environment. She showed the map to the group and mentioned that the icons were rather small on the display while zoomed out to a campus level. Mentioned that map does not contain complete information for off-main campus locations and needs more direction on how to visualize interior and garage call boxes. Queried groups for thoughts on call boxes that are in the same location on multiple floors.
Dr Harkins inquired if he was able to click on a box and it would show the location. Sue responded that the map was not currently setup in that way, but it could be done. She indicated that the challenge was providing 3D information in a 2D environment. Jimmy Johnson asked when we were getting that type of map. Sue questioned if interior maps need to be handled case by case basis or do we say every floor of stairwell "3".
JJ could we be able to have the ability to show on the pop-up all floor plans with the location for each floor? Sue acknowledged as part of the feature class building and floor information is already provided so the data was not setup for his suggestion. Trecs is to implement a status field and this would ensure that we do not send people to a call box that doesn't work. She explained that it was in QUAL as there are small pieces that UT needs to figure out. She indicated that these issues could be addressed by a smaller, working group.
Dr. Harkins provided some context about the current state of things and what was to come. Currently there are 150-174 ECB and he's proposing that our system becomes a 3-prong system:
1: emergency call towers on main path of travel have ECB with cameras
2: Celebrated entrances designed to be an emergency hub with AED, telephone, and hopefully a trauma kit. Down the road we're looking at another 150 emergency telephones
3: call boxes in garage
If can get funding that's the direction we'll go. Don asked if we can we separate ones that just notification and no communication on them and Sue explained that the feature class was structured for categorization. Due to the needs Sue recommended a smaller working group and Jimmy agreed to head it.
b. Campus maps for Satellite sites
Sue showed the recently published map for Johnson Wildflower Center and described how each satellite campus maps adheres to the same standards and is intended to show high level information for orientation. She indicates that TRecs is contacting facility owners for building name change requests and categorization. Indicated future map order was MSI, MCD, and then SMV pending new construction. She informed the group that a legend change from "Residence Halls" to "Residences" was due to classification purposes and inquired if anyone had concerns about the change. No one voiced any dissent so silence taken as assent.
c. Clery Report
Sue told the group that LIS was digitizing the property boundaries per UT Austin deeds and boundaries sum of all deeds. 80% complete. Christine has been working with Amy to ensure we have the right information.
d. New safety initiatives
Sue worked with jimmy on 1st safety initiatives to create 1st pass at primary, secondary and tertiary walking paths and categorization of cameras. LIS is evaluating requirements for this initiatives. Jimmy told the group that the University is taking a new view at call towers across campus. Dr. Harkins added that Jacobs was finishing the lighting survey which will give us a sense of lighting across campus. We are working with DOS on crowd sourcing data on primary paths of travel. UT is looking at resources & evaluating each pathway by lighting, vegetation, call boxes, and camera coverage. The DPS report calls for thousands of call boxes across campus monitored 24-7, but that isn't possible. The main objective is to ensure that UT has adequate coverage.
Another piece is safety initiatives is celebration entrances. Sue showed a working map of the celebration entrance data received from Richard Costa and inquired as to where that should be published: building page, paper map, main maps site? Exterior doors feature class setup to accommodate storage of this information. Primary emphasis of established celebrated entrances is on 34 building with general purpose classrooms (GPCs). Registrar requires those buildings be open 6am - 11:45pm, 7 days a week, 365 days a year.
New policy established for locking down facilities with GPCs at 7pm to remain locked until 6am. Each facility would have a celebrated entrance with card access on it. Since the main entrances to some buildings are not accessible some buildings may have 2-3 celebrated entrances to accommodate campus community needs. Current vision is that at each celebrated entrance there would be a video camera, emergency telephone, AED, and a trauma kit. Dr. Harkins thoughts is that we need to tell people where to go.
Rhonda questioned if he envisioned to be part of the communications plan to campus about the whole philosophy of celebrated entrances. Policy has been signed by President and Dr. Harkins is looking for a soft rollout; they are meeting with building managers to begin walk-through. Rhonda, Cyndy & he would need to work on a communications package. Intention is that the summer would be spent getting used to locking down buildings and that all will be in place prior to fall semester.
80 of the 160 facilities on campus with electronic locking, but the process is slow and requires funds. In next phase of BACS is to get a BACS on all facilities that don't have it. Dr. Meaghen added that it is great that we're looking at that, but CSAS needs to work with Facilities Services to ensure that the pathway is also accessible. Jimmy added that the ones we have under consideration for ADA are based on that. Sue indicated that the first draft of the celebrated entrances map did distinguish accessibility. Dr. Harkins: idea to have a basic map with a layer on tops to see safety initiatives in totality.
e. Accessible Entrances
Sue provided context regarding accessible entrance imitative purpose and drivers. She showed the working map with non-finalized symbology and queried the group for input indicating that the ADA office preferred a simpler approach. She cautioned that we should be mindful of overuse of the wheelchair icon. Jimmy asked for their recommendation and Sue pulled up a recent email from Stephanie Myers with examples from other universities for the group to review. Dr. Harkins indicated that we should avoid the wheelchair symbol and using the color blue and recommended that the small working group could assemble current and future symbology to ensure no conflicts and consistent.
Sue indicated that was the extent of our current work and queried the group about proposed work or other business. Stephanie asked if we had a snapshot of the old map to compare how much better the new version looks. Dr. Meaghen inquired when would have a live accessible entrance map. She indicated that the group needed to agree on symbology and ensure UT is using the correct terminology that absolve UT of legal repercussions. Richard indicated that some of the data was not correct and provided examples at POB, AHG, & SZB. Dr. Harkins inquired if Richard had been seen the map, which he had not. Sue indicated that some of the initial collection results were subjective, but not included in the equation to determine accessible entrances. She added that Richard would be given access to review to help us refine the door information. She inquired about ADA offices first pass that we should take the force of the door into account and remove those entrances. Stephanie added that by examining the difficulty to open a door could be included in the ADA transition plan.
Sue indicated that we should field verify the locations, but questioned how we would maintain the map going forward as LIS not resourced and cautioned that we only had information regarding academic buildings, but not dorms or athletic building. Jennifer suggested that we enlist the help of Richard to clean-up accessible entrance data. Sue indicated that we are 75% ready with data for publishing. After Richard cleans up the data field verification is left before publishing.

Dr. Harkins inquired when we would be complete with pedestrian maps. Sue indicated that all were replaced during February-March of the current year and showed a map with their locations.
