Post A New Position
POLICY
In order to post a job opening for any type of benefits-eligible position, you must first get approval.
APPROVAL PROCESS
Follow the steps below:
Step #1: Contact your designated program coorindator to inform them of your intent to hire at least 60 days prior to an anticipated start date.
Step #2: Work with your designated program coordinator to determine position allowance, classification, salary range, of the requested position.
Step #3: The program coordinator will submit the request, manage the approval process, notify you of approval, and submit all documentation to HR on your behalf.
CREATE A JOB DESCRIPTION
Create the job description with assistance form your program coordinator.
A few things to consider while creating the description:
- The Open Recruiting option opens the position to the public as well as the university
- Provide detailed descriptions of purpose, required qualifications, and preferred qualifications
- Determine classification, exemption status, and salary range
MANAGING HRMS
HR will send an email with HRMS, the recruiting portal for applicant screening and selection summary, links and additional directions once the posting is live. The program coordinator will manage the HRMS process.
POSTING TO EXTERNAL JOB BOARDS: Due to strict compliance requirements, HR must approve external advertising using print, electronic media and/ or internet postings in advance–your program coordinator will mange this process for you if you opt to post to an external job board.
HRMS notes and reminders when you have identified a finalist:
- 3 professional references must be completed.
- If they are a current UT employee, their personnel file will be requested by HR and provided to you.
- Your program coordinator will coordinate with HR to make sure their salary is in alignment with their education, equitable with internal peers, and (if applicable) complies with what is outlined in your offer letter.
APPLICANT SCREENING + INTERVIEWS
Consider the following when determining which applicants to interview:
- Before an interview can be conducted, applicants must have an electronic application on file and have applies to the position online
- Consider doing phone interviews before in-person interviews
- Include relevant team members in the interview process–we work collaboratively
HIRING
Once the most qualified candidate for the position is selected, there are several steps to take to get the applicant hired. The checklist below explains the step your program coordinator will take to complete the hiring process:
- HR must approve the hire and salary before any offer is made to the selected candidate
- Once HR approves, you/program coordinator may make a verbal offer to the candidate, taking note of the agreed upon start date
- If the candidate accepts, HR will write up an official offer letter with agreed salary and start date.
- It is department policy to inform interviewed but not-selected candidates, AFTER the selected candidate signs their offer letter.
- If the applicant self-discloses a disability, work with Strategic Workforce Solutions and the Office for Inclusion and Equity to ensure that requested accommodations are reasonable and can be met by the university.
