How to Request a Visiting Artist
 

  1. Visiting Artist requests will open prior to the first week of classes. The Senior Admin for Art and Art History will send out a Microsoft form link via email that must be filled out for the request to be reviewed.

    If your visitor is international, we need a minimum of 60 days lead time. If your visitor is domestic, our preference is to have 30 days lead time.

    Prior to filling out the request form, you need to have already contacted and confirmed the details with the person you’re inviting. You should have a proposed date and time for them to visit along with what types of activities they’ll be performing during their visit (ex. lecture, seminar, studio visits, etc.). You should also know if your visit will require a room booking for the lecture and if the guest will require funds for travel.

  1. Your first visit may occur about two weeks into the semester (mid September for Fall), and your last visit must be two weeks before the end of the semester in order for payments and billing to remain on time.  

 

  1. Once your request has been accepted, the Senior Admin will email you letting you know that they’ve reached out to your guest to initiate paperwork. If you’ve already made two requests in a current semester, your request may be put on hold until other faculty have time to make their submissions. After that, we will approve requests as the budget allows. 

 

  1. All paperwork will be handled between your guest and the Senior Admin. The Senior Admin will contact you if anything is delayed or if they have trouble getting in contact with your guest because it could delay the date of their visit.  

 

Reminder: Accompanying the guest is the responsibility of the requester. The guest should not be alone with students while on campus. 

 

Policy on Guest Lecturer and Visiting Artist Eligibility 

Support for visiting artists and guest lecturers comes from various endowment accounts with specific requirements to support visitors. We require the Visitor Request Form to be submitted so that we’re able to ensure that all guests are compliant under the account they’re being paid from.  

All lecturers must get approval from their area head in order to invite a guest to speak to their class. 

Faculty within the Art & Art History department cannot be officially hired to be guests in another class within the department and therefore if they do choose to come to visit another class, they are unable to be paid for it. 

 

Visiting Artist Travel

When a guest artist or lecturer is visiting the University for a minimum of two days (with activities taking place on both days), additional funding may be offered for travel.  This can include mileage, lodging, ubers, airfare etc.

Promoting Events for Visiting Artists & Lecturers

  • If you would like for a departmentally sponsored event to be promoted on the department website, in a weekly events email, and/or on social media, please submit the following form: AAH Event Promotion Form – Fill out form

  • The AAH Event Promotion Form is for a lecture/talk by a single speaker on one day. If organizing a multi-speaker/ multi-day event (symposium, etc), please contact Danni Bens directly to discuss promotional needs. (danni.bens@austin.utexas.edu)

  • You must submit this form at least 3 weeks in advance of the event you’re organizing.

  • Hunter Thomas will create flyers/promotional material for the event if you indicate on the form that you need promotional assets made.
