Process

Step 1: AISD CT Pool

Sheet 1: AISD CTs 

  • AISD starts the recruitment process by sending out their Interest form to all eligible CTs. UT Coordinators may begin reaching out by email to these CTs as well to ensure CTs list UT and preferred university/UT Coordinator.

  • UT Coordinators review AISD CT Pool Sheet ( Sheet 1. AISD CTs) to claim, request, or release AISD CTs.

  • Send AISD’s Interest Form to CTs who are not showing in AISD CT Pool to get them added to the CT Pool. 

Other Districts

Connect with CTs in other districts according to district procedures as outlined in the district chart.

Step 2: CT Recruitment Tracking

Sheet 2: Fa26 CTs I am Recruiting - All Districts

  • Look for an email from Karen with a link to your cohort’s tab on Sheet 2.

  • Add the names and information of the CTs you are recruiting for all districts on this sheet. 

  • For AISD teachers, you can cut and paste the information directly from Sheet 1.

  • This spreadsheet will be used for Jenny to communicate the status of CT Agreement forms for all districts.

Step 3: Matchups

Sheet 3. Fa26 {Name of Cohort or Program} Placement Matchups 

  • On this final sheet, match students with the CTs and add the field supervisors as they are assigned.  

  • Sheet 3 serves as our record of student placement, so it needs to be up-to-date and accurate.


Next Steps

Cooperating Teacher Confirmation Letter

Every teacher with a PDS student placement should receive a placement confirmation letter.  Teachers should not be surprised by the student’s arrival.  

Below is the confirmation letter template to use for your Interns and Student Teachers.  Letters should not be sent until placements have been confirmed with the districts.  

It is recommended that the confirmation letter is sent in the body of the email, rather than as an attachment.

Does the CT/placement have the required approval?  

  • AISD, RRISD, and UT Elementary - Approved CT Agreement (principal approval) is all that is needed.  

  • Districts such as Pflugerville, Del Valle, Leander, and Eanes send letters of placement approval.  These districts require the student background checks being cleared prior to the CT being approved.   Please refer to the district chart for information on the district application process (this is what generates the background check with the district).   If you are in doubt, please contact Jenny.

Student Teacher Orientations 

Some districts require student teachers to attend a Student Teacher orientation.  These orientations are held at the start of the semester and can be found on the PDS calendar once this information is available.
