Custodial Admin must adhere to filing standards for audits.


 

Adding Files to Common and SharePoint

Common Filing Basics 

  1. Save documents in Common>WCI using the following date format 00.00.00
    1. FRI - First Report of Incident Injury Memo (Ex. Employee last name, First name FRI 00.00.00)
    2. AF - Acknowledgement Form (Ex. Employee last name, First name AF 00.00.00)
    3. WSR - Work Status Report (Ex. Employee last name, First name WSR 00.00.00)
    4. BFO - Bona Fide Offer (Ex. Employee last name, First name BFO 00.00.00)
    5. **bonus** DR - Doctor Release aka Doctor Note *save only when related to restrictions (Ex. Employee last name, First name DR 00.00.00)

FRI + AF

RESTRICTIONS/MODIFIED PROGRAM WSR + BFO(Add a new folder within Active with the employees name, SHOWN ABOVE)

NO RESTRICTIONS WSR = (If first WSR: Add folder in Inactive folder and save WSR. Employee folders that were previously in Active must be moved into Inactive after the employee returns to regular duty)

SharePoint Filing Basics

  1. Save documents in Personnel Log - ADM SharePoint Webpage
  2. Click New Item 
    1. FRI and AF - keep as two separate entries
    2. WSR and BFO - keep as two separate entries

Modified Program Excel Spreadsheet

Upon starting the Modified Work Program, an employee's temporary work assignment must be tracked using a department spreadsheet. This is sent to the AD periodically, so it must be maintained and updated with accurate details.

 

Old entries remain hidden. When a new entry is added, ensure that the formulas remain intact. Please see the Training Manager for specific data entry instructions.
