O365 Management - Manage Your Mailbox

The Office 365 Management web application empowers mailbox owners to efficiently manage their mailboxes and distribution groups. With this tool, you can:

  • Add a secondary email address

  • Set or clear a forwarding address

  • Update the mailbox display name

 

Key Features

  • Settings Management: Change and update settings for your mailbox, including the display name and primary and secondary email addresses (also known as aliases).

  • Mailbox Statistics: View detailed statistics about your mailbox.

Accessing the Management Console

  • Login to the Office 365 Management Tool.

  • You will be prompted to authenticate with your EID credentials.

  • In the Office365.austin.utexas.edu management console, navigate to the "My Services" section. Here, you will find the "My Account" section, where you can manage your mailbox settings.

Note: Users will not have access to the "My Users" and "User Lookup" tabs. These tabs are reserved for Mailbox Managers.

Update Mailbox Display Name

  1. On the My Services page, click the My Account pane if it is not already open.

  2. Enter your desired display name in the Display Name box.

  3. Click Save.

Hide or Unhide Mailbox from Exchange Address Lists

A mailbox hidden from Exchange address lists will not appear when other Exchange users search for the mailbox address or display name.

  1. On the My Services page, click the My Account pane if it is not already open.

  2. To hide the mailbox, check the box next to Mailbox hidden from Exchange address lists. To unhide it, uncheck the box.

  3. The information updates automatically when the checkbox value is changed.

Update Primary Email Address

The primary email address can only be changed if the mailbox has more than one address associated with it. See the section on adding secondary email addresses for details on creating multiple addresses.

  1. On the My Services page, click the My Account pane if it is not already open.

  2. Unlock the primary email address for edits by clicking the lock icon beneath it. The lock icon will change to a check mark.

  3. Select another address from the dropdown menu.

  4. Click Save.

Add Secondary Email Address(es)

  1. On the My Services page, click the My Account pane if it is not already open.

  2. In the box below the list of secondary email addresses, enter your desired secondary email address in the address field. Select the email address domain from those available in the dropdown menu next to the address field.

  3. Click Add.

  4. If the address entered is already in use, the application will provide a warning message and will not add it.

Remove a Secondary Email Address

  1. On the My Services page, click the My Account pane if it is not already open.

  2. In the list of secondary email addresses, highlight the address you wish to remove.

  3. Select the option to remove the selected address.

View Mailbox Statistics

  1. On the My Services page, click the My Account pane if it is not already open.

  2. Click the Load/Refresh button next to Mailbox Statistics to see details such as the mailbox size and forwarding addresses.
