There are three types of policy memos:
Ad-hoc Changes to Curriculum or Policy
The Associate Dean for Academic and Faculty Affairs will consider ad-hoc changes to curriculum or policy, initiated by a COLA academic unit, to determine if the change or changes are sufficiently significant to warrant deferring their consideration to the next Catalog cycle. For instance, the addition of a course option for a requirement is permissible by memo, but the subtraction of an option must be done by Catalog. Changing the number of hours for any credential’s requirements or sub-requirments cannot be effected by memo, and must be filed under Catalog.
Interdisciplinary Degree Program Courselist Review
Two weeks prior to each registration period, Academic and Faculty Affairs invites programs, especially interdisciplinary programs that on other departments and centers to originate their coursework, to submit courselist memos, specifying section by section where new, proposed courses are to be added to their major, minor, or certificate, accompanied by supporting syllabi. These proposals must be submitted by the end of business on the Monday of that week, and will be evaluated and sent for degree audit programming, if approved, by the end of that week. To add your program to the IDP courselist review, have the staff or faculty member responsible for courselist additions contact John St Lawrence to be added to the calendar.
Memos Attached to Petitions for Degree Modification
Any petition for degree modification, substituting an in-residence course for a credential’s requirement, must be accompanied by a memo extending the same opportunity to all students pursuing the credential. Academic Advisors, trained on the Online Petition and Override System (OPORS) can assist in the preparation of these memos and will submit them, along with the petition, in OPORS. Academic and Faculty Affairs will not consider any substitution or exception for a single student or instance, except under the most extreme circumstances.
