Requesting a New Supervisory Organization

Purpose: 

To provide COLA-specific instructions on how to request a new supervisory organization in Workday. 

 


Relevant Definitions: 

Supervisory Organizations (Sup Orgs): the organizational structure in Workday that connects workers to their manager and to the manager’s unit within the organizational hierarchy of the department/college/university.

  • JM – Job Management 
  • PM – Position Management 

 


Process: 

  1. Determine whether a supervisory organization is needed, i.e., the relevant sup org(s) might already exist. Supervisory organizations are tied to positions and are not removed when an employee is transferred or terminated.
  2. To request a new supervisory organization, an HR Partner or Academic HR Partner must fill out the askUS DocuSign form for Creating a New Supervisory Organization.
  3. Enter your name (assuming you are an HR or Academic HR Partner) and EID email. In the Required Role Approval field, enter Stephanie Yang (sy5777@eid.utexas.edu).
    1. Only enter the Chief Business Officer (Rubina Saya (rs27777@eid.utexas.edu)) if the Default Cost Center for the requested Supervisory Organization needs to be different from the Superior Supervisory Organization’s Default Cost Center.
  4. Enter the EBITs access code for the form: askus2020.
  5. The first two pages of the form will explain each field in detail. If you have any questions, please reach out to cola_hr@austin.utexas.edu
  6. Once you have submitted the form, please reach out to cola_hr@austin.utexas.edu to notify the team a form has been submitted and to determine who will need roles for the newly created organization.  
    1. In this email, when possible, please provide an existing WD sup org name and ID that has the same roles and authorizations you would like duplicated for the new org(s).
