ETC Printing and Scanning
We have two multifunction, b&w/color printers in ETC provided as a department resource for ME faculty and staff. Please see details below for how to print, copy and scan including actions required for MacOS users.
These printers are for UT/ME business-use only. No personal printing is allowed. Since we are charged per page, please utilize color printing and copying only when necessary.

**We have set default print options such as black and white and two-sided, but these can be changed on demand for each print job or you can set up new defaults and/or saved presets on your computer yourself or with ME IT assistance.
**We have also disabled printing via USB drives at the devices for security and to prevent unauthorized printing. You can print directly from your computer without needing to copy documents off to a USB drive. Secure printing instructions can be found here - Windows and MacOS. This will allow you to hold print jobs at the printer until you release them.
Windows 10/11
Printers have been automatically deployed to most machines. You will find them under “Printers & Scanners” within Windows Settings or within the application’s print dialog window you are printing from.
If you do not have these printers installed, you can follow these instructions to add the two printers.
MacOS
You will need to follow the steps in this link to add the printers to your UT Mac computer.
Note: If you have the old ETC Canon printer, you can remove it within the Printers & Scanners window.
Note: If there is a UT business need to print from a non-UT managed Mac where UT Self Service is not installed, please submit a ticket to mech-it@austin.utexas.edu.
Linux
Open a ticket with mech-it@austin.utexas.edu
Copying
Place document(s) on ADF following the example label orientation (face up, top edge at the top for 8.5x11). ADF supports up to 11x17 horizontally.
Alternative: lift open top section and place single page on glass flatbed using edge guides
Set desired copy options on the touchscreen and press the green Start icon to begin copying.
Scanning
Option 1: Scan to Email
USE ONLY UT M365 EMAIL ADDRESSES. The UT M365 email platform is approved for Published, Controlled, and some Confidential data (includes FERPA and HIPAA). DO NOT scan documents to any email that contains data under the following categories: SSNs, IRB, ITAR, CUI, or any other export controlled data. UTmail (Google) is not approved for ANY Confidential UT data including FERPA and HIPAA data.
*** Be aware of UT data security requirements around what you are scanning and where you are storing it. UT Data Classification Standards with definitions and examples can be found here.
Option 2: Scan to Network Folder (IT-managed scan file server)
You can also utilize scanning to a network folder. You will need to navigate to a network folder on your computer to retrieve your scanned document. Please see these instructions - Windows and Mac. These network scan folders are temporary storage locations and files will be cleared after 5 days. The folders are also accessible by others in the department based on the name (ie Faculty folder accessible by all ME faculty and Staff folder accessible by any ME staff including GRAs/TAs). Please consider appropriate scanning destinations or scan to email to protect specific FERPA or HIPAA data. Move your file off the scan folder and place in your desired local folder or UT-approved cloud storage location.
If there is a specific security or business need that requires your own network scan folder, please submit a ticket to mech-it@austin.utexas.edu for review.
Scanning Instructions
Place documents in the top ADF (up to 200 sheets) or open and place individual sheets on the glass flatbed .
Select Home in the top right.
Select Scan and Send.
Select Address Book.
Navigate to the saved email address or desired scan server folder, press to select, and select OK at the bottom. You can select multiple at one time. You can also use the name sorting icons to filter the address book by the first letter of your last name. There are also filter icons for email addresses only or scan folders only.
You can manually enter in your UT M365 email address if it is not saved in the address book.
Select/change desired scan options, but usually the defaults will be fine.
Press the green Start icon to scan.

If you need special assistance with a print job such as non-standard sizes (up to 12 x 18, envelopes), specific paper including labels or letterhead, or other needs, please email copycenter@me.utexas.edu with your request and department staff will assist.
