Alcohol Guidelines

Key reminders:

  • For on-campus events, prior approval by an approved delegate of the Provost must be obtained, see relevant section below.

  • The Texas Alcoholic Beverage Commission (TABC) requires that a TABC-licensed caterer/bartender be used when there is an exchange of funds at an event at which alcohol will be served. An exchange of funds includes entry fees (e.g., tickets, donations, etc.) or providing a tip jar for the bartender.

  • If the event is on campus, a TABC-licensed bartender must be obtained – this is a TAD policy. Events off campus do not need a bartender unless undergraduate students will be at the event.

  • If you need to secure a TABC-licensed bartender, please contact Conner Gilbert. The department prefers to use A+ Staffing.

  • Alcohol costs must not be more than food costs. Alcohol-only events are not allowed in any circumstance.

  • Alcohol purchases are never allowed on any account involving student fees or flat rate tuition.

Prior approval by an approved delegate of the Provost is required to serve alcohol on campus. Review the Request Exception to Serve Alcoholic Beverages at an Event on Campus webpage on the Provost's website before submitting an exception request.

When you are ready, find the "Submit request" link to a web form, in the top right area of that page. The form will route to the COFA delegates for review and approval. Once the exception request has received approval, send an email containing both the exception request and approval to your TAD Finance Team.
