Access for New Staff

Contact LAITS for access to the SAW-staff Box account and the shared inbox shakespeare@austin.utexas.edu. This should give you access to most of these accounts.

For log on information go to Box > SAW-staff > Log on Info for Winedale Accounts.

EXTERNAL ACCESS

Network Solutions

Calendly

  • Calendly is where we schedule interviews for sping and summer classes, as well as one-on-ones with the director. You are free to use whatever platform you prefer. This is a free account.

Eventbrite

  • Eventbrite is our ticketing system. We currently pay for Eventbrite Pro as their terms of service have changed and the size of our events now requires Eventbrite Pro. You can create new events by copying old events and changing the details.
  • In Payment & Tax > Payment Options make sure our Authorize.net account is linked to the event so we can receive direct deposit rather than a check.

Google - Winedaleshakes

  • This google is used to send out Google Forms. The Google Drive for this account has also been used in the past. This email is linked to our YouTube account.

Round Top Bank

  • Winedale has an account with Round Top Bank. Traditionally the program coordinator would deposit money here so they were not driving around with thousands of dollars of cash. With online ticketing and the credit card machine, a lot less cash is used and I felt safe transporting it to Austin myself. My name (Allison Dillon Grindle) and James Loehlin's name are the only ones listed on the account. You will need me to go with you to the bank if you would like your name on the account.

Facebook and Instagram

  • Current staff should be able to add you to the Shakespeare at Winedale Facebook Account.
  • The logon for the Instagram is in the document mentioned above.


INTERNAL ACCESS

UT Lists

  • UT lists lets you create listservs. We use listservs to communicate with students in the summer class.

WebEditor

VIP

  • VIP is UT's internal CRM that houses data about donors and endowments. You will want access to this to see gifts that are made to the program and to see the endowments that support the program. After you have access to VIP you will be able to pull up all Winedale endowments by going to Endowments > Find endowments by criteria > Winedale's designation number is 811 > Display Basic List.

*DEFINE

  • *DEFINE is UT's accounting system. It can be difficult to operate and understand. Work will Cecila to get access to *DEFINE and learn how to navigate the system.

ProCard

  • You will need a ProCard to be able to do this job. Work with English Department staff to take the relevant training and submit and application. Be mindful of what you are allowed to purchase with a ProCard and what you spending limit is.

Eloqua

  • This is UT's email marketing platform. Training is available on UT Learn. You will be able to find past Winedale emails and mailing lists in the system.

Qualtrics

  • UT's survey platform. This is where spring and summer applications live.

Cognos

  • This is traditionally how the Shakespeare at Winedale donor report is produced. Cognos is no longer being maintained and I have found it's reports to be occasionally inaccurate. It is worth reevaluating how S@W donor reports are produced. COLA Development may be able to offer some guidance.
