Altru: Creating In-House Director’s Circle Renewal 1 Letters

The Director’s Circle Renewal 1 Letters process should be run on the 1st of each month. This will usually be done by the Manager of Membership & Constituent Data, but the Membership Associate may occasionally be called upon to assist.


Part 1. Update DC Renewal Letter

  1. Open Altru
  2. Click the Membership tab
  3. Click Blanton Membership
  4. Under Renewal Notices, click View Letters
  5. Select Patron & Contributor In-House Renewal 1
  6. Click Edit
  7. Click on the Word Template link to download the current letter as a Word document
  8. Open the Word document and update with current information (exhibition titles, information, event dates, etc.
  9. Save changes in file
  10. Return to Altru and click Clear
  11. Click the green arrow
  12. Upload your updated letter document
  13. Hit Save

 

Part 2. Pull and Print Letters

  1. Repeat steps 2-3 of Part 1
  2. Click Process Membership Renewal Notices
  3. From the dropdown, select In House DC Renewal 1
  4. Click Add New Appeal
  5. Type in the Key Code for the month you are pulling, plus “DC” (example: 0519R1 DC)
  6. Click Start
  7. If your Letters in Altru are updated, click Merge (Note: You can either merge the letters in Altru or externally, with Word)
  8. Download Letters and Print


Part 3. Pull and Print Envelopes

  1. Repeats steps 2-3 of Part 1
  2. Click Process Membership Renewal Notices
  3. From the dropdown, select DC R1 Envelope Printing
  4. Use the existing appeal you created during Part 2
  5. Click Merge
  6. Download Envelopes and Print


Part 4. Mail Renewal Letters

Once you have finished updating and printing, mail the renewal notices. Each envelope should contain:

  1. DCR1 letter
  2. CRE envelope
  3. Membership benefits insert
