Coaches

Coach is defined as an individual, who is not a UT student, that provides coaching, instructing, and/or training services for your club.

Role of Coach

Relationship to the University

Coaches are invited guests to the UT campus (and any sponsored activities off-campus) by Recreational Sports as either Independent Contractors (IC) or Volunteers (VOL). Their only business on campus, unless otherwise instructed by the University, is to work with their specific Sport Club. Any campus violations that occur involving a Sport Club Coach may result in loss of RecSports membership and thus removal. 

No Sport Club Coaches are considered employees of The University of Texas at Austin. Current UT System employees may volunteer as a Sport Club Coach. The individual must be aware of and follow ALL University and departmental procedures relative to the Sport Club program and UT Austin. Recreational Sports reserves the right and obligation to protect the club and if, in the staff's opinion, a coach is not providing services that are in the best interest of the club or fails to meet University expectations, the relationship may be ended at any time.

Coaches should refrain from making appointments with the Director of Recreational Sports, Intercollegiate Athletic Directors, or any other person to discuss club business without first informing the Sport Club Staff. Participation in the Sport Club Program is completely voluntary, therefore monetary rewards or scholarships shall not be promised or given to any member or prospective member by the coach. Coaches must help ensure good sportsmanship at all times. Individuals must always conduct themselves in a manner that does not detract from the reputation of The University. This includes behavior in game situations, contact with other teams and interaction with event staff. When involved in off-campus events or when traveling, they are representing the University and are accountable for their actions.

It is recommended that all coaches purchase their own personal medical and liability insurance.

Coach, Not Administer

The coach should restrict their contributions to providing coaching services and should refrain from activities involved in the club’s management. A Sport Club is first and foremost a student organization and, as such, the student representative must serve as the liaison between the club and Senior/Assistant Directors. The philosophy and key to the success of the Sport Club program has been the continued emphasis placed on student leadership and participation. Club business matters (hosting tournaments, submitting forms, equipment requests, etc.) must be handled by the student members with the coach serving in a consulting capacity. Club activities and events should be a team effort and not left solely to the coach or student representatives.

Title IX: Mandatory Reporters

Coaches are considered “mandatory reporters” for the Sport Club Program and are therefore required to promptly report allegations of discrimination, harassment, sexual assault, and misconduct to the University Title IX or Deputy Title IX coordinators. Each coach is required to take Title IX Basics training through the University. If a report is filed, please contact Sport Club Staff immediately.

Clery Act: Campus Safety Authorities (CSA)

Coaches are considered a Campus Safety Authority (CSA) with regard to the Clery Act. The “Jeanne Clery Disclosure of Campus Security Policy and Campus Crime Statistics Act” (20 USC §1092(f)) is a federal law originally known as the Campus Security Act. It requires colleges and universities that participate in federal financial aid programs to disclose information about crime on/around their campuses.

Campus Security Authorities (CSA’s) are people who are responsible for:

  • Accurately reporting crime information to the correct people in a timely manner

  • Supporting the individual sharing their experiences with you and providing them with options and resources

  • CSA’s are not responsible for determining if a crime took place, finding and/or apprehending the alleged perpetrator, or convincing the victim to contact law enforcement.

  • CSA’s are a critical first step in a process that was designed to support victims and protect the larger campus community.

Institutional Equity: Consensual Relationships

Coaches are subject to the University's Handbook of Operating Procedures on Institutional Equity, with an emphasis on 3-3031: Prohibition of Sexual Assault, Interpersonal Violence, Stalking, Sexual Harassment, and Sex Discrimination and 3-3050: Consensual Relationship policy. Recreational Sports should be made aware if/when any situation falls within these areas.

Approval to Work

Sport Clubs are not required to have a coach, but may elect to utilize the services of a coach based on the needs of that organization. Each academic year, clubs are required to submit their coach information for the upcoming academic year/semester. Each coach must authorize and pass a background check, submit a Membership Packet, and be approved by Sport Club Staff prior to providing servicesAny club found to be using the services of a coach prior to the completion of required paperwork may be sanctioned and/or lose the services of that individual. 

Sport Clubs may work with up to four (4) Coaches at any given time each year. If an organization wishes to work with more than this limit, they should express this need to Recreational Sports for review and/or approval.

Finding Coaches

Recreational Sports does not "hire" or designate any individuals to serve as a Sport Club Coach. The club may design its own method of advertising and screening for the coach role. The process should determine an individual’s qualifications for working with the club. This may also include interviews and reference checks. Any open Coach posting should refer to this section of the Sport Club Association Handbook to ensure proper information is shared with the prospective individual(s). 

Coaches must be recommended by club members and must submit required paperwork each academic year in order to be approved by Recreational Sports to provide coaching services. Start and/or Continuation of coach’s status is not automatic. Any signed agreement between an individual and a Sport Club is null and void in regards to the individual's official status and relationship with UT Austin. Only agreements signed by the University's Business Contracts Office are considered official.

Onboarding a Coach

If a club wishes to utilize the services of a coach, the club/coach must complete the following steps. Coaches will be on-boarded through the deadline listed on the Resource Overview Page.  Sport Clubs must seek exemption from Recreational Sports to onboard individuals outside the above timeframes.

  1. Submit Coach Set-Up

    1. Individual must obtain a UT EID (if they do not currently have one) before the club can submit this form.

      1. UT EIDs do not expire. If the person you wish to on-board has been affiliated with UT before, they should have one. Do not have them create another. It causes issues with the process.

      2. If creating a new UT EID, make sure they select "Get UT ID" on the side. 

    2. After the form is submitted, the Sport Club Staff will review info for accuracy. 

  2. The Sport Club Staff will submit the information to HR to initiate the background check process.

    1. HR will start the process of a background check. Clubs may be responsible for the cost of the background check which range in price from an average of $100.

  3. If the coach has onboarding tasks in Workday, they must complete this prior to the background check being issued. Sport Club Staff will communicate with the coach if this is necessary.

    1. All coaches are required to register for Duo Two-Factor Authentication in order to access their onboarding tasks in Workday.

  4. The Coach will receive an email about authorizing the background check. They must accept in order for the process to continue. The process of the background check can take several weeks. 

  5. Once the background check is approved, they will need to submit a Membership Packet for the academic year in which they will be providing services. In the summer, the Membership Packet for the upcoming school year typically goes live on August 1st.

  6. If they are a paid Independent Contractor:

    1. Sport Club Staff will instruct the individual to submit a Payee Information Form (PIF).

      1. We encourage all coaches to set up Direct Deposit.

    2. All Paid Independent Contractor Coaches must complete a contractual agreement with the university prior to starting services.

  7. All coaches must complete any required compliance training as outlined by the University and Sport Club Staff.

  8. If the coach is new, they will be issued a RecSports ID Card. This card allows the coach access to RecSports facilities. The card DOES NOT make the coach automatically eligible for other RecSports programs. Further questions regarding the RecSports ID card should be directed to the Sport Club Staff.

    1. Sport Club staff will notify the club once a coach RecSports ID card has been created. The club or the coach can then stop by the office to pick up their ID card.

    2. Bellmont facility-based Sport Club coaches are unable to use a RecSports ID to access the facility. We will have to receive a UT ID. Please contact Sport Club staff to ensure your coach receives the proper ID.

    3. Note: Coaches who are also UT faculty/staff will use their existing UT ID card in place of a RecSports ID.

  9. The Sport Club Staff must approve of all coaches before they start.

Upon completion of the steps listed above and final approval from Sport Club Staff, the coach will be able to begin providing services to the club.

Background Checks

University affiliates, including contractors and volunteers, must report to their contact person (Sport Club Professional Staff) in writing, within five business days, any criminal complaint, information, indictment, no contest plea, guilty plea, or criminal conviction (and whether the affiliate is registered as a sex offender or will be required to register as a sex offender), excluding misdemeanor offenses punishable only by fine. An affiliate who fails to provide required notification is subject to severing of the relationship with the University.

Compliance Requirements

All University contractors and volunteers must complete online trainings through the university, many of which are due annually. Compliance trainings should be completed within 30 days of their official start date. Trainings must be renewed annually or once every two years. We advise to allow at least two hours to complete all the trainings. Required trainings include:

  • Introduction to the Compliance & Ethics Program

  • Sexual Misconduct Prevention

  • Equal Employment Opportunity (EEO)

  • Information Security Awareness 

  • Title IX Basics (ANNUAL)

Orientation with Recreational Sports Staff

Sport Club Staff may host a Coach Orientation approximately 1-2 weeks before the start of the Fall semesters. All first-time coaches (paid and/or volunteer) are required to attend. At this Orientation, certain paperwork may be completed and other important information will be shared.

If a new coach cannot attend, please contact Sport Club Staff to request an alternative meeting.

Paying a Coach

Each club must determine if the organization’s budget allows for a paid Independent Contractor. For more information on how to set up a coach for payment, see the Types of Purchase page in the Finance Handbook Section. The policies outlined here relate to paying a coach.

  • IC’s cannot be current UT System employees or currently enrolled students.

  • IC's must be paid a minimum of $100. Any coaches paid more than $15,000 require additional paperwork, including but not limited to a Best Value Determination Form or competitive bids.

  • A contractual agreement will be signed by the IC Coach and the University.

  • A volunteer coach may move to a paid independent contractor position, but an individual previously paid by the club for the same services cannot move to a volunteer position.

Travel

Sport Clubs may endure travel-related costs for their coaches, even if they are unpaid volunteers. It is important to remember the following:

  • Coaches are NOT UT students.

    • If you have a UT Student providing coaching-like services, we typically refer to them as “Captains”.

  • Coaches that are employees of the University must have a Request for Travel Authorization (RTA) form on file prior to travel.

    • Sport Club Staff will assist in completing this on behalf of the club once the travel request is submitted. Any trip that has coach that is an employee of the university requires additional time for approval. The RTA has to be accepted by the employee's department.

    • Please submit the travel request a month in advance for these trips. We cannot make any purchases for the coaches until the RTA is accepted.

  • All non-employee coaches, that have travel costs paid for, must have a Non-Employee Travel Authorization (NETA) or equivalent on file prior to travel.

    • Sport Club Staff will assist in completing this on behalf of the club once the travel request is submitted.

Sport Clubs coaches may NOT conduct purchases for reimbursement later, except with prior approval from Sport Club Staff or in case of emergency.

Use of Recreational Sports Facilities

Once a coach is on-boarded with RecSports and the university, they will be given a membership to Recreational Sports Facilities. The use of the facilities is a privilege and can be revoked at any time. Coaches are not provided access to RecSports programs through this membership. Coaches should primarily use the facilities to attend Sport Club practices related to their club. Coaches are not permitted to train outside entities or Sport Club members outside of their practice times.

Parking on Campus

Approved coaches, as Recreational Sports members, become eligible for the "E" Permit and/or Parking Perks. RecSports is not permitted to pay for any individuals parking permit; the individual must cover this expense on their own by visiting a staffed garage. NOTE: Any valid UT permit is accepted at Wright Whitaker Sports Complex.

Ending Services

Regardless of the circumstances, it is imperative that sport clubs notify Recreational Sports once it is known that a coach will no longer work with the organization.

Club Wishes to End Services

  • Discuss the situation with Sport Club Directors prior to communicating with the coach.

    • Notify Sport Club Staff immediately via email once the decision has been made.

    • Set up a meeting with Sport Club Staff to discuss the situation.

  • Sport Club Staff will work with club officers to determine the most appropriate method to inform the coach that the club is ending all services provided by the coach.

    • Sport Club Staff will review the information provided, and assist in preparing the club in their communication.

  • Sport Club Staff will complete any necessary paperwork to complete the process.

    • If the the coach is an IC, the club should be prepared to pay the coach for services rendered per their contractual agreement. Coaches are not guaranteed payment for services not rendered. 

The Coach Wishes to End Services

  • Immediately notify the Sport Club Staff in writing if the coach has decided to stop providing services to the club.

  • The Coach should immediately invoice the club for any outstanding services yet to be paid.

    • It is the club’s responsibility to ensure the coach submits this final invoice.

    • The club must approved the final invoice for payment.

    • Once payment is issued, all Recreational Sports memberships will be revoked.
