Follow the guidelines in this section for communicating with the various parts of the Sport Club Association. Please note: All in-person visits (including purchases, meetings, travel card check in/out, etc.) require an appointment scheduled via Bookings. Please contact your advisor if you need to stop by the office outside of a scheduled appointment.

Communication Guidelines

Contact Hours

We ask Sport Club business to be conducted during business hours as much as possible. There will be times where we need to be contacted outside of hours, and we are more than willing to assist in these situations. If it is not urgent and the request is outside of hours, we will request the club to reach out the next business day.

Student Employee Communication

You are not permitted to directly contact any Sport Club student staff member directly. Our Sport Club Student Staff will be added to each Microsoft Teams Channel via a group account. Any direct messages to the staff account will be ignored. Messages to staff must be posted directly in Teams channels.

Scheduling a Meeting/Appointment

If you need to schedule an appointment or meet with your advisor, please use Bookings to set up a meeting. All appointments and meetings must be scheduled via Bookings. If it is not scheduled, the office may not be able to assist. You must use your eid@my.utexas.edu email when booking.

Appointment/Meeting Overview

  • Meeting with Your Advisors (Virtual or In-Person): anytime you would like to meet with your advisor (outside of recurring meetings).

    • There is also the option to meet with both advisors at the same time. Staff will normally indicate if a meeting should be scheduled with both advisors.

  • Travel Purchase Appointment (Virtual or In-Person): should be used anytime you are making a travel related purchase (rental cars, hotel bookings, etc.)

  • Purchase Appointment (Virtual or In-Person): should be used anytime you are purchasing something non-travel related on the Pro Card.

  • Purchase Appointment Off-Site: this should be used only when you are unable to purchase the items online.

  • Mail Pick-Up (In-Person Only): should be used anytime you are coming to pick up packages or mail from the office. Can also be used for picking up a check.

  • Travel Card Check Out (In-Person Only): an appointment within 48 hours of departure to check out the travel card for a trip or event.

  • Travel Card Check In (In-Person Only): an appointment within 72 hours of return a trip or event - all receipts from the trip/event must be submitted with the card as well.

  • Locating Receipts (In-Person Only): this will be used for anytime a club makes a purchase and does not submit a receipt within the deadline.

  • Check Deposit Appointment (In-Person Only): anytime you have a physical check that needs to be deposited into your account.

  • Veo Camera Check Out (In-Person Only): if you have reserved the Sport Club Veo Camera for a competition, you will use this to review the Veo app and pick up the camera.

  • Veo Camera Check In (In-Person Only): after the competition, you will return the camera during this appointment.

Email

Email is the preferred method of communication for official university business. All UT Students are required to use their eid@my.utexas.edu e-mail address when contacting our office. Please utilize email as much as possible for non-emergency or any questions that will take detailed follow up. If you need to contact your advisor directly, use their personal email accounts. If you need to reach anyone in the office, use the Sport Club email at utrs.sportclubs@austin.utexas.edu. All Sport Club Staff, including students, oversee the Sport Club email account and allows your question for a quicker response if sent there. 

Teams

Each Sport Club will have their own Microsoft Teams channel with the Sport Club Staff. You are required to use the Teams Channel to communicate with our office. You are not permitted to direct message anyone directly. Direct messages may be ignored. Teams should be used for quick question and answer. Sport Club Staff will use it as a reminder system as well, when needed.

Cell Phone

If it is an emergency or you need to reach Sport Club Professional Staff immediately, you can contact them via their cell phones. Your default communication method should not be via cell phone. If you reach out via our cell phones, please leave a message or text us the information including your name and sport club. We will not always answer unknown numbers.

Examples of emergencies include, but not limited to: car accidents, severe injury during competition, denied travel card charge during non-office hours, adverse weather during travel, etc.
