Shipping/Receiving for Research Purposes

Shipping/Receiving for Research Purposes

Shipping/Receiving to EER

WNCG Staff can help you send/receive mail and packages for business/research-related purposes only.
Package receiving in the building will not accept any packages that are not official UT business.

Make sure you have reviewed all Purchasing Guidelines before having anything mailed or shipped!

Address Format

Packages MUST be addressed specifically to a Faculty or Administrative Staff member. Researchers/GRAs/student employees should follow the following format when having research-related items mailed to them. Instead of just listing your name, please write it as follows:

UT AUSTIN: WNCG
C/O <your advisor's name here>
2501 Speedway,
EER 6.804, C0806
Austin, TX 78712-1684

Sending Outgoing Mail

WNCG staff can help send outgoing mail for research purposes. When contacting WNCG Staff about these requests, please make sure to CC your advisor so that WNCG staff can confirm permission to charge their accounts.

Letters: First Class or International Mail via USPS

Letters in standard envelopes can be metered (ie. don't need a stamp already on it) and charged your advisor's account.

Letters must be submitted to staff before noon in order for the mail piece to go out via USPS at 4PM that day.

Interoffice Mail

If you need something sent to another office on campus, bring the mail piece to WNCG staff and let them know you need it to be sent through Interoffice Mail. It's helpful if you know the recipient's department mailcode, but WNCG staff can look it up if we have the Department and the recipient's name.

Interoffice mail items must be submitted to staff before noon in order for the mail piece to go out via campus mail, to be delivered to the receiver’s department the next day.

FedEx, UPS, DHL, priority, or overnight

To ship on these private carriers and/or request rush services, please provide WNCG staff with the following along with your mailpiece:

  • recipient's name

  • recipient's business name (/department/office/etc)

  • recipient's telephone number

  • requested shipping speed

Make sure to CC your advisor ahead of time so we can ask for an appropriate account to use.

Receiving Mail & Packages

Troubleshooting / Finding Mail Items

Common Delays

  • US Mail is heaviest on Mondays and after holidays -> delays

  • Items missing a mailcode -> delayed to identify the correct mail code, and may end up in the wrong department.

  • USPS actually scans as "delivered" prior to delivery.

    • The USPS last scans packages with tracking barcodes when they receive it from their sorting facility. That is why you will see DELIVERED on the USPS website.

    • UT Mail Services does not receive the package until the next day, sometimes up to two days after the last USPS scan. From there, Mail Services has to deliver to the EER building before WNCG Staff can receive

  • Mail Services delivers packages (on average) on a weekly basis to EER.

    • An item may be marked "delivered," but Mail Services hasn't dropped it off at the building yet.

Guidelines for Addresses

  • Always provide the complete shipping/mailing address as at the top of this page when places orders or providing a mailing address to affiliates, collaborators, etc. Any missing information may delay mail from reaching you.

  • Always use the main admin office (EER 6.804) as the destination suite. Mailpieces or packages that have other room numbers on them may otherwise get lost, or in the case of packages be placed in an unsecure/unattended location.

Amazon Business Shipping Rules and Guidelines

Some students may have access to their lab group's Amazon Business accounts. If you're an approved buyer for your group, please make sure to be familiar with the following information. Receiving shipments from Amazon can be even more complex due to the range of carriers they use.

In addition to the other guidelines on this page, make sure to follow the guidelines below to reduce the risk of your package getting lost.

"Shipping Recipient" must be a WNCG Staff Member or a student's advisor

  • This helps direct the package to the WNCG office, especially if it accidentally is delivered elsewhere in the building. The order history will show which group the item is for, so you don't have to list yourself as the recipient.

Shipping hours and drop-off preferences must be listed.

  1. While logged into Amazon Business, hover over the part of the navigation bar that says "Hello, <Your Name> / Account for the University of Texas"

  2. Under "Account Details," select "Your Account"

  3. Go to "Your Addresses"

  4. Find the "Default Address", and click the "Edit Delivery Preferences" under that address

  5. Make sure the following selections are made:

    1. Delivery Times > Delivery Hours

      1. Monday - Friday "9:00 AM - 3:00 PM"

      2. Saturday - Sunday "Closed for deliveries"

    2. Delivery Instructions

      1. Dropoff location: “in-suite reception”

      2. Additional Info: “UT AUSTIN - EER SOUTH TOWER. First deliver to 6.804 (WNCG) or 2nd floor front desk 2.864. If not available, 1.834. If all closed, please leave near mailboxes INSIDE loading dock with building mgr. Do not leave unattended at a closed door.”
