Exception to Travel to Restricted Region

 

Who needs to apply for this?

This exception is required for anyone traveling to a region classified by UT as a "restricted region"

UT Restricted Regions List

The IOC maintains a Restricted Regions List of locations worldwide that pose travel risk. No student, faculty, or staff can be required to travel to a location on the Restricted Regions List. UT Austin students, faculty, and staff are not permitted to participate in international activities in locations on the Restricted Regions List unless an exception is granted by the IOC.

What happens if an exception is not filed prior to travel?

If this is not completed and approved PRIOR to traveling to the restricted region, your trip will not be reimbursed. No exceptions.

How do I request an exception?

Deadline

It can take some days for WNCG staff to acquire the required signatures from the Department and Dean's Office prior to submitting to IOC, so please submit your forms to WNCG staff at least 6 weeks prior to your trip date, in order to meet the IOC deadline of 5 weeks prior to your trip.

Travel request process

  1. Visit Request Restricted Region Travel Approval. 

  2. Fill out the form.

    1. If certain information is not yet known (eg. your exact flight information, etc.), just list as much as possible.

    2. For example, "Airfare is still in the process of being booked, but I am planning to leave early in the day on March first, probably on an American Airlines flight)."

  3. Under the section, "Identify any UT Austin faculty or staff to be notified of the IOC’s decision."

    1. Please make sure to list WNCG Staff (Erin Salcher, erin.salcher@austin.utexas.edu)

    2. You can list your advisor in the second space, or anyone else who may need to know

  4. You are required to do a consultation call with On Call International regarding safety and security procedures. You must list the case number and other information on your request form.

  5. Leave the signature fields blank. WNCG Staff will include you on the DocuSign e-sign routing once you submit it, so you will get to e-sign using the preferred method.

  6. When you have filled out the form and attached all of the required information/documents, please email your form + documents to lmerritt@austin.utexas.edu

  7. WNCG staff will help you e-sign the request form and the COVID-19 waiver, and obtain the other necessary signatures and submit the packet to the IOC.

  8. IOC will review your request. If your exception is granted, you will receive a letter of approval from the IOC.
