RTAs (Request for Travel Authorization)
Requesting an RTA
All UT travel, including guests coming to UT, requires pre-approval in the form of an RTA (Request Travel Authorization). Download, fill out and email the VAC admin the RTA Request Form.
Who Needs an RTA
A traveler will need an RTA in order to have travel costs paid for them (airfare, rental car, etc.) and/or for them to be reimbursed, including any per diem or mileage. And if the traveler is a UT employee on UT business, they will always need an RT.
If we are paying for any costs for a companion to a guest (airfare, hotel), that person also needs an RTA.
Pre-Approval Is Required
RTA approval must be completed before the trip begins, and it takes several steps. So RTA’s must be requested at least one week before the trip, but as far in advance as possible.
New Travelers
If the traveler is new to the UT system, they must be set up in the system before an RTA can be created. See the New Vendors section. That means the RTA must be requested at last two weeks before the trip.
