Fieldwork Projects are dynamic collaborations between faculty and students in the Department of Art and Art History. They take on a range of forms, from exhibitions and pop-up studios to lectures, workshops, and critiques. Fieldwork Projects enable students and faculty to bring the ideas and processes developed in the classroom into the public sphere.
How do I propose a Fieldwork project?
Faculty members must submit a formal proposal to the VAC curation committee during open application windows. Your proposal must outline the project's conceptual scope, technical requirements, and proposed timeline.

What criteria does the VAC use to evaluate proposals?
The committee selects projects based on feasibility, alignment with the space's experimental mission, educational impact, and compatibility with the broader VAC exhibition schedule.
Can students submit proposals directly?
Student projects must have a designated faculty sponsor who serves as the primary organizer, oversees all gallery operations, and signs the project agreement.
Pre-Exhibition Planning & Scheduling
When can I access the Fieldwork space?
Regular access aligns with standard VAC operating hours:
Tuesday – Friday: 10 AM – 5 PM
Saturday: 12 – 5 PM
If your team requires access outside these hours, submit a request well in advance for VAC staff approval and supervision. Note that the building closes entirely during UT home football games.
What are the deadlines for scheduling installation and events?
Installation and Deinstallation: Confirm your dates with VAC staff at least two weeks before your assigned slot. First-time organizers must schedule an orientation with staff prior to working in the space.
Receptions and Public Programs: Submit event details for approval at least two weeks in advance. Events must wrap up by 6 PM. Alcohol is strictly prohibited.
Coordination: Review the VAC website and touch base with our team early to ensure your work periods do not conflict with scheduled gallery events.
What materials do I need to submit for marketing and publicity?
Provide the following publicity assets to VAC staff well before your start date:
Official project title and brief summary (300 words max.)
High-resolution images with full caption details (Artist Name, Title, Year, Medium)
Alphabetized list of participating artists and curators
Descriptions (up to 125 words) and details for any approved public programming
Installation Guidelines and Building Rules
Who handles the installation and technical setup?
Faculty organizers oversee and execute all installation and teardown tasks. Do not include components—such as complex media, custom lighting, or heavy construction—that your team cannot install independently.
While the VAC lends basic tools and equipment subject to availability, you must submit requests early. Specific equipment cannot be guaranteed.
What are the structural rules for hanging work?
Mount artwork strictly to drywall surfaces or the Unistrut rails hanging over the East Gallery.
Wall Specifications: Gallery walls feature ½-inch plywood beneath ⅝-inch drywall. Because structural backing varies across the space, consult the preparatory team before attempting modifications beyond the top drywall layer.
Fasteners: Use screws rather than nails whenever possible.
Prohibited Areas: Never drill into, structurally modify, or paint floors, ceilings, exposed concrete, structural steel, light tracks, or light fixtures.

Which materials and finishes are allowed?
Allowed: Standard drywall anchors, screws, and pre-approved latex wall paint.
Prohibited: Aerosol sprays, adhesives, permanent markers, Sharpies, or any chemical treatments that risk lasting surface damage.

Audio, Tech, and Environmental Considerations
How does the VAC manage sound in multi-exhibition spaces?
Sound bleeds easily through adjacent galleries. Keep audio volumes balanced so they do not disrupt neighboring exhibitions. VAC staff reserve the right to lower volume levels or require headphone listening for media elements.
How do I handle interactive elements or custom Wi-Fi needs?
If your installation relies on internet access (such as tablets or web browsers), program devices to lock out external navigation. Inform staff early if your project requires a custom or isolated Wi-Fi network.
What if my installation needs daily maintenance?
Supply explicit opening and closing instructions to VAC staff before launch. This applies to:
AV hardware requiring power cycles
Interactive media
High-security elements
Printed takeaways that require restocking
Deinstallation and Space Restoration
What is required during deinstallation?
Return the gallery to its original condition. The VAC supplies spackle and touch-up paint for standard screw holes. The sponsoring faculty member or department covers the labor and expenses for any structural repairs or damages beyond basic wear.
