Room Reservations
Please use the guidance below to reserve classrooms and spaces managed by the Department of Art and Art History (AAH) located in both the ART and Doty Fine Arts (DFA) Building. Unless stated otherwise, all reservable rooms must be made by using the AAH Room Request Form. When filling out this form please be as detailed as possible to help ensure your room request goes as smooth as possible. Upon completion of this form AAH’s Course Scheduler will contact you via email with approval or further requirements regarding your request. This form will ask you the following:
Your name (and student group if you are requesting on their behalf)
Reason for the reservation
How long do you need the space
In Time (what time you would like to get in to set up)
Start Time (when event starts)
End Time (when event ends)
Out Time (what time you will leave after clean up)
How many people do you plan to have attending
What kind of equipment do you need
Submission of this form does not guarantee approval of the requested room. Approval will be provided to the requestor by email once The Department of Art & Art History Course Scheduler has reviewed the submission.

Faculty wishing to reserve rooms for anything outside of their regularly scheduled class time must fill out the AAH Room Request Form.
Students/Student Group Reservation
Student groups or individuals outside The College of Fine Arts (COFA) are required to have a UT Faculty or Staff member submit the AAH Room Request Form on their behalf.
Graduate Students who are requesting a room for Colloquium or Dissertation Defense should ensure the AAH Graduate Coordinator is aware of the requests made through the AAH Room Request Form.
Please be aware that if you only provide a single window of time, you might be given a room in another building.
Student Groups who bring in food are required to take or properly dispose of leftovers after room use. Department refrigerators are prohibited from storing leftover food that often goes bad and is left for others to discard.
Event Planning
If additional seating, tables, or trashcans are required for an event, the requestor is responsible for planning these arrangements with UT Facilities Events Planning. (If the requestor plans to serve food this will be necessary before approving the room’s request by AAH).
Requestors who fail to make event planning arrangements, resulting in improper food/drink disposal, messes left, or overflow of building trash cans, can have privileges revoked from reserving Art and Art History spaces in the future.
Requestors who have Audio / Visual requirements for the room, must contact COFA A/V at 512-232-4400 to schedule a consultation for technology use. The COFA A/V team will be able to either provide immediate technology support or a tutorial with appropriate lead time.
