ERM Workflow

  1. Log into Intota (you should have received an email about setting your password): https://intotaa.proquest.com/
  2. In the upper right hand corner change the search parameters to Ebooks (see Fig. 1 right), then type in the first part of the title and search
  3. In your results there should be one with a gear next to it (see Fig 2 right), choose that one by clicking on the title
    1. If you do not see the gear symbol in the results, just mark that title on the sheet and move on to the next one
  4. In the holding list you are looking for one that is both highlighted in grey AND with a status of Puchased (see Fig 3), you'll click on Holdings Details.
    1. Double check that the Provider matches what's on the top of your invoice (see purple circle in Fig 4)
  5. Choose the Discovery section and hit Edit
    1. In the Public Holding Note, put the user model from the invoice (green circle in Fig 4), do not put the quantity, just the abbreviation that is noted.  Hit Save.
  6. Scroll down to the Costs section and click Add Payment
    1. Fiscal Year - leave 2016
    2. Payment Type  - Choose One Time Purchase
    3. Payment Amount (Local Currency)- put the amount from the invoice
    4. Transaction Currency Code - always USD
    5. Payment Amount (Transaction Currency) - put amount from invoice again
    6. Order Number - put in the Sierra order number if it is noted on the invoice (see Fig 4  the red circle to see where it will be located)
    7. Click on Add More Details
    8. Click on Add Codes
      1. Fund Name - put the fund code from the invoice (see Fig 4 the blue circle to see where it is located)
      2. Fund Amount - put the amount on invoice for the title
      3. Hit Save
    9. Note - Add the user model abbreviation here again
    10. Hit Save
  7. Check the title off and move on to the next one!
  8. When you finish the invoices you have bring them back to me so I can look at any you marked as skipped.  Thanks!
