Uploading to Stellent
- Ask IT professionals (Dilshad and Robin) to create a folder named as the new course abbreviation (abc) in Stellent.
- Once the folder is created:
- Go to: https://webcms.utexas.edu/sp/
- Login with your user name and password (probably your UTEID & password.) Note that if you are already logged in to UTeach server or secure website you may not have to type your user name and password.
- Choose Contribution Folders from the drop-down menu under Browse Content at the second navigation bar on top (blue colored).
- Scroll down on the next screen and click on the folder called "UTI Courses" at the very bottom.
- Now, you should be able to see all course folders including the new course folder. Click on "abc" folder, the folder for the new course.
- In any course folder, there are "topics" folder and two word documents named "abc_intro" and "abc_prep": introduction and course preparation pages, respectively. All topic pages go to "topics" folder. If this folder is not created yet, you can do it yourself! NOTE: USE ALL LOWER-CASES TO NAME ANY NEW CONTENT OR FOLDERS IN STELLENT.
- To create the "topics" select "New Folder" from "Actions" menu on the top right.
- Type "topics" into "Virtual Folder Name" and "Title" sections. Everything else should remain as they are.
- Go ahead save the folder by clicking "Save" at the bottom.
- After saving the topics folder, you should be seeing a mostly-blank page since there is no document in the folder yet.
- Uploading new Topics pages:
- Now you are in "topics" folder in "abc" folder. (Contribution Folders -> UTI Courses -> abc -> topics). This pathway also appears on the top left of your screen.
- Select "New Content" from "Actions" menu on the top right.
- To upload "abc_topic01.doc" type "abc_topic01" in the "Title" section.
- Click on "Choose File" button in the "Primary File" section.
- In the pop-up window, navigate place where you keep this document on your computer and choose "abc_topic01.doc"
- DO NOT CHANGE ANY OTHER OPTIONS ON THIS PAGE
- Scroll al the way down and hit "Check In" button.
- DO NOT EVER CLCIK ON "Check In Similar" ON THE NEXT PAGE.
- Repeat the steps "2.c", "2.d", and "2.e" to go back to the new course folder.
- Repeat steps 4.a through 4.i to upload other Topic pages.
- Uploading new Introductions and Course Preparation pages.
- Navigate the folder "abc" (Contribution Folders -> UTI Courses -> abc) by Repeating Steps 2.c-2.e (There is a shortcut to that, which will be explained in Step 7 of this section.)
- Choose "New Content" from "Actions" menu on the top right as in Step 4.b.
- Repeat steps 4.c through 4.i but this time, use "abc_intro" and "abc_prep" as the titles for Introduction and Course Preparation documents, respectively.
- To replace/edit any documents that are already in Stellent:
- In every page, there is "Actions" column (the last column on the right) next to all document and folders. On this column there two icons for each document. The icon on the left look life a picture of a list (next to information icon -- the circled "i", that gives information about particular document).
- Click on the list icon and choose "Check Out" option. Once you checked out the document, no one else can use this document for editing purposes until you check the document in. (this process prevents two or more people editing the same document at the same time)
- Click on the document link (Native File Link) to download the latest version of this document on the server. Make your changes to the document and save it on your computer.
- Once the document is updated, go back to Stellent window and click "Check in" button.
- Click Choose File button to navigate to the place where you saved the updated document from the pop up window and hit Choose.
- If you believe that you already had the latest version before your updates on you computer you can skip step 6.c and directly "Check In" the document with your updates.
- Creating a shortcut to UTI Courses folder in Stellent: You will need this because every time you check in something and go back to course folder you will have to repeat Steps 2.c and 2. d, which might be bothersome for some people. Instead, creating a shortcut and using it have been proved to be less bothersome.
- Go to "My Stellent" > "Edit URLs".
- Give a title to this shortcut and copy and paste the following link into the "URL" box and click "Update"
- Now, the shortcut is ready to use: Go to "My Stellent" > "My URLs" > "UTI" (OR whatever name you gave to your shortcut's title
