How to Process GPC Requests for a Semester in Production

Schedulers may contact the office with a Chair Proof Timeline/Room change request, asking for either:

  • Room Swaps

  • Room Changes to existing reservations

To make a GPC change

  1. Check the Room Scheduling System's Graphical View to see if the room is available for the time requested.

  • Note: A room could appear to be reserved (green in the system) but actually be an uncharted room due to a canceled class.

  • To check if a class is canceled, search for the unique number of the event/class currently showing to be in the requested GPC. If it is canceled, it is simply uncharted in the system and can be assigned to the requestor in Class Manager.

  • The system will warn you of scheduling a conflict, but in this situation, an override is okay- make sure to include CSN of cancelled course in your note that you are scheduling a conflict.

 

  1. If the room is showing as available, go into Class Manager and search for the class by Unique Number.

  2. Under "Timelines", enter and/or change the GPC building to the requested Building and Room Number.

  3. Leave a Log Note/Explanation on what was changed.

    1. CSP: added/changed GPC to ___ per (name of contact person's) request.

Ex: CSP changed TL2 GPC per Greg Browning.

  1. Email a reply to the requestor and alert them to the recent changes made in Class Manager. (Copy the Course Scheduling team email).
