October 2019 - October 2020
GRA Colin Morgan created a spreadsheet and transferred contents of the cards for 11,600 reports, working remotely from March - October 2020
2014-2015 Work
Approx. 15-18,000 reports - 379 boxes, at LSF occupying 47 shelves, labeled and arranged numerically (box/vo/ser - ex.00435-00494)
We have two incomplete sets of cards: shelf list by number and subject-geographic locations.
According to a set of cards 0001 to 1207 are reports for Texas.
Box inventory # 00232425 0001-0033 - includes other reports stamped "Leipziger Pearce Collection" with numbers between 0072-0120
2014/03/10 - MGP emailed Ben Rodriguez (BR) to get a couple of boxes that should have Texas reports to see if the numbers match the cards:
Inventory # 1200446 | HUD 701 Planning Reports, 1954-1983 | 0427
Inventory # 1775914 | HUD 701 Planning Reports, 1954-1983 | 08067-08114
2014/03/11 - MGP talked to BR: once items are catalogued, they can be reboxed. LSF will create an in-house finding aid to track individual items in boxes.
Contact Jee Davis and Stephen Littrell to determine process:
trying to identify Texas reports - priority and full cataloguing
other locations - min cat with simple call no. and note or subject heading to pull together
most likely, one box at a time - who requests them? how do we keep track of progress?
possibility of Arch GRA doing some min cat
2014/03/12 - MGP met with Stephen Littrell. He recommends that we set as long term project:
perm return 1 or 2 boxes and send to cataloguing every month (or as often as it works for them)
it is ok for most of them to trickle back to LSF
set up process for these to be sent to LSF directly from marking and plating
2014/03/14 - received boxes from LSF and confirmed that the report numbers on the cards match the contents of these boxes so it should possible to isolate at least some of the Texas reports
2014/10 - Steven Littrell contacted KPM and BJD regarding moving HUD boxes to CDL
2014/11/13 -
Phase 1
Intellectual access = provisional EAD finding aid
Physical access = via Alexander Architectural Archive
Phase 2
Intellectual access = route to Cataloging and Metadata services for MARC records
Physical access = Texas items stay at APL, non-Texas items go to LSF (eventually)
2015/5/28
Work is being conducted to consolidate all boxes - 5 test-case boxes in BTL 201 will be send to CDL to be stored with other uncataloged materials.
Some boxes received at APL from cataloging> most reports sent back to LSF
Next steps: determine workflow for getting boxes from CDL to cataloging, then APL or LSF
add provenance note to HUD catalog records
