SW Scholars: Invited Speakers

You are encouraged to work with your Stengl-Wyer colleagues and your Mentor Dr. Hans Hofmann to invite speakers to your monthly luncheons for talks or workshops, or offer these to the larger science community as well. These can be UT-based or non UT-based guests.

To start the process, discuss your idea with your Dr. Hofmann. When the speaker is decided upon, you will serve as the speaker’s “host.” Then contact Nicole Elmer (nicole.elmer@austin.utexas.edu) who will connect you with whomever manages travel in your area. Have the following info:

Full name of traveler, their affiliation, and their email
Dates of travel
City of departure

GENERAL RULES

Non-UT speakers will receive a $200 honorarium, two nights lodging, round trip flight, meals, and incidental travel (such as ground transportation). UT-affiliated speakers will not receive an honorarium.
All speakers will be provided lunch.
MSI-based Fellows and Scholars will be reimbursed for mileage and two nights lodging if coming to Austin to host their invited speaker. You will need to submit travel paperwork before the event so that you can be reimbursed and so that your travel admin will be able to book lodging for you close to campus.

MEALS WITH INVITED SPEAKER

If you are the host of the speaker and want to take him or her out to dinner with the group, you will pay for the meal up front and will later be reimbursed.

Alcohol: cannot be more than 50% of the total of food.

Tip: Can only be reimbursed 20%. You can tip 20% of the subtotal.

The max amount of meal total per person is $100. Make sure that the cost per person does not exceed that.

Please no more than 6 people per meal, including speaker. Note that any attendees who are not part of the Stengl-Wyer group will need to pay for their own meals

REIMBURSEMENT

If you have taken a speaker out for a meal and you are seeking reimbursement, you will have to submit the meal receipts to Nicole Elmer nicole.elmer@austin.utexas.edu Provide the names of the attendees (please no more than 6 people including the speaker).
