Wire Transfer Process

  1. When a wire transfer is the required payment method by a vendor, the CNS Wire Transfer Form must be completed. The authorized signers for the form routing can be found on the Define GB1 screen, based on the account used for payment. The information required on the form can be found on the vendor invoice and respective Smartsheet row.

  2. The requestor will receive a copy of the finalized wire transfer form via DocuSign when all parties have signed. Please note, for any Dell-housed accounts, the invoice should be attached to the wire transfer form.
  3. Signed form and invoice should be uploaded to the Outgoing Wires Box Folder.
  4. The requestor will receive a FYI copy of the Define VC1 document. This VC1 document ID should be saved in Smartsheet under the Payment Doc ID column.
  5. Once the VC1 is final approved, the status in Smartsheet should be changed to 'Complete.' Additionally, Accounts Payable should be emailed to request that the respective PO be disencumbered. Example email below.
    1. Good Morning,

      Could you please disencumber PO 2023AXXXXX? It was paid by wire transfer on G0VC1xxxxxx.
