SW Fellows: Invited Speakers
You are encouraged to work with your Stengl-Wyer colleagues and Mentor Dr, Hans Hofmann to invite speakers to either attend your monthly luncheons for talks or workshops, or o er these to the larger science community as well. These can be UT-based or non-UT guests.
To start the process, discuss your idea with Dr. Hofmann. When the speaker is decided upon, you will serve as the speaker’s “host.” Then contact Nicole Elmer (nicole.elmer@austin.utexas.edu) who will connect you with whomever manages travel in your area. Have the following info:
Full name of traveler, their affiliation (with a university, non-profit, etc.). and their email
Dates of travel
City of departure/return
The admin that handles travel will then work with you and your invited speaker for the necessary paperwork like PIF forms and an RTA.
Non-UT speakers will receive two nights lodging, round trip flights, reimbursement for meals as well as incidental travel such as ground transportation. Also, a $200 honorarium is available for the non-UT speaker. UT-affliated speakers will not be given an honorarium, but lunch is offered.
Fellows based at the Marine Science Institute who host invited speakers on the UTA campus will be reimbursed for mileage and lodging for two nights here in Austin for your time as host.
Non-UT speakers may be taken out for a meal by the host for the day of the talk or workshop. Other Stengl-Wyer colleagues in your group may also attend. Note that any attendees who are not part of the Stengl-Wyer group will need to pay for their own meals. The host will cover expenses and will be reimbursed after the meal.
REIMBURSEMENT PROCEDURE
If you host and pay for meals, you are able to seek reimbursement. Coordinate with Nicole Elmer to start that process.
