How to Migrate Drawing Documentation (Closeout)

Click on the document icon, drag and drop it into the appropriate Vault.

 

Select the appropriate document type.

  • For closeout documents, use Project-Buildings.


The Wizard will then open up for you to complete.

  • Fields in bold, red text are required.
  • The Wizard opens up in the Project Building tab.

  • You can click on the Magnifying Glass symbol at each point to open up a list of searchable choices.

                                

Enter the Project Source.

  • This is usually already populated with the source CAPITAL.
  • For closeout documents, you will use CAPTIAL


Enter the Project number

  • For the NHB building the Project number is 102-259.


Enter the Site

  • This is usually already populated with the site UTM UT MAIN CAMPUS.
  • For the NHB building the site is UTM.


Enter the Building

  • When you enter the Project number, this field will automatically populate with the building associated with the project.

 

Enter the Floor(s)

  • Depending on the Project number, this list of choices will vary.
  • You can also choose NA or TBD is no floor is indicated.

 

Click on the Classification tab

 

Enter the Responsible Group

  • For closeout documents, choose the CLOSEOUT group

 

Enter the Document Class

  • For Drawings, chose DRAWING

 

Enter the Sub Class

  • For Drawings, choose the AS-BUILT class

 

Click on the General tab

 

Enter the Description

  • Copy and paste the description, omitting the first part, from the Original File Name into the Description field.
    • Org. File Name: RD1 - ARCHITECTURAL - A2.18B-A - ROOF PLAN - EAST - ADDITIVE ALTERNATE # 2 - BP # 7 ( REVISED 04-22-09 ).pdf
    • Description: ROOF PLAN - EAST - ADDITIVE ALTERNATE # 2 - BP # 7 ( REVISED 04-22-09 )

 

Enter the Sheet Number

  • The Sheet Number usually is listed in the title of the import document.
  • Example: A0.10, P2.10A, A10.02A

 

Enter the Revision Level

  • This is usually already populated with the level 0.
  • You do not usually have to change this.

 

Enter the Security Level

  • The usual Security Level for closeout documents is STANDARD.

 

Enter the Originator Type

  • This is usually already populated with the type INTERNAL

 

  • The other choice is the type EXTERNAL.

 

  • If you know the vendor for the product, select EXTERNAL. You will then need to enter the Company Click on the magnifying glass symbol to open up a list of searchable choices.

 

Click on the Notes tab

  • This is a free-form field for any additional information regarding the document.

 

Click on the Finish button at the bottom.
