Creating New Final Exam Schedule

Exam periods are rotated every semester. In order to do this, we go back 13 years for the long sessions and 6 years for the summer. For example, Spring 2014 would use the same exam table as Spring 2001. Fall 2016 would use Fall 2003, etc. Summer is different because the final exams are broken up by term, and each term only has two days, or 6 exam periods. For example, Summer 2016 has the same exam table as Summer 2010.
We will first go to the Final Exam Rotation Table found here: Registrar→Final Exams → Exam Schedule→ Final Exam Rotation Worksheet 

There are separate tabs for spring, summer, and fall.
When we determine the appropriate year to copy the exam period table from (13 years prior for long sessions, 6 for summer) paste the cells into the current year's exam table:

  • Make current year's exam table by going to: Registrar Server\Final Exams\Exam Schedules
    • Make a new folder for the current semester you're working on
      • Copy and paste the "Final Exam Rotation Worksheet" Registrar→ Final Exams→ Exam Schedules→ Sortable Table Templates into that folder, and rename it "YYS Sortable Exam Table"
        • Utilize this to paste the data from the final exam rotation table mentioned above, and below.
        • Look at previous semesters for examples on how to organize and sort the exam periods.
          Example:


The 2 following steps apply ONLY to fall:
1. The exam periods in bold on the rotation table must be changed as follows to have the exams on their corresponding exam days. For example, M evening exams are in period 15 in the spring semester, but period 15 is on a Tuesday in the fall, so M evening exams will be held during period 12, a Monday, for the fall. This follows guideline #1, 2, and 3 for long sessions mentioned on the "Guidelines" tab on the exam rotation table (same document linked above).

  • 9>6
  • 6>3
  • 15>12
  • 18>15
  • 3>18 only period 3 in bold changes to period 18

2. The class meeting time that is associated with period 3 not in bold will be held during period 9 (period 9 should be empty after making the changes above).
