Photography Request Workflow
Collection Photography
Projects will be shown on dashboard of all linked users.
Step 1: Review Needs
Requestor reviews existing photography for objects to confirm new photography is necessary
Step 2: Create Project record
Project number: PRJ.2025.#
(type “PRJ.2025. and click ellipses button to generate next available number)
Department: General
Project Type: Photography Request
Title: brief description of project
Project Status: Requested
Status Date: updated to current date each time the status changed
Step 2a: Link Object record(s) to project.
Step 2b: Complete Photography details
Link constituents
Requested by (link self, or external requestor)
Coordinator (link self, when creating request for external requests)
Photographer
Stakeholders (link other staff who will need to contribute to or see updates about this request)
Notes (describe purpose and supporting information about request)
Enter any notes about what might impact scheduling for the photographer including upcoming objects movements, conservation, exhibition or loan dates, or publication timelines, whether someone needs to approve the final image, any anticipated challenges in accessing or setting it up for photography, whether something should be photography in situ, etc
Also include whether the requestor or stakeholders need to be present to directly answer questions when shooting the objects
Step 2c: Item level notes
Add notes about needs for specific object at the item level. This might include if a specific backdrop is needed, if something should be photographed in situ, whether details are necessary, whether to photograph the frame, or unframe for photography, etc…
Step 2d: Email Taryn to notify about new photography request
Step 3: Review and Approval
Requested projects are approved by Shelby
Update status to “Approved”
The approved projects are reviewed by Taryn
Delivery Timeline added (6 weeks, 3 months, 6 months, etc)
Taryn communicates via email to schedule movement dates with Matt/Preparators regarding handling and framing timeline
Project status updated to Scheduled (and status change date)
Step 4: Photography
Photographer updates status to Active (and status change date) after shooting, indicating that they are editing/processing the files
Step 4: Review
Media is linked to objects and project for approval by requestor.
Photographer changes status to “Under Review” (and status date)
Photographer also adds End date to signify completion.
The requestor has two weeks from that date to review and communicate changes needed to the photographer.
If changes are needed, Requestor adds notes and changes status back to Active for photographer to address.
