Media Importer Tool

  • Open Importer using button in menu dashboard

  • Select an importer profile at the left (blue hyperlink text)

  • Select your working folder and hit “Select” button

  • In the Job window, select all records

  • Click “# Selected” at the top right of the import screen (will show # of records you have selected)

  • Generate Thumbnails, this may take a moment

  • Complete necessary fields in the importer profile for your photos

  • Select all records again, and click “Auto Link” in the top right of the importer screen

    • Select “Object Number” as the “Link Field”

    • Enter delimiter _ and position # (counting from right to left)

    • If your files have different numbers of delimiters, you can select them in different sets and adjust the delimiter count as needed

    • Click “Link” and wait for linking process to complete. Progress will show in the button at the top right.

  • Once entry is complete and all records have a linked record click the green “Import” button at the top right

  • Within the Import pop up window, click “Configure” under Media Importing Options and select the following

    • Rendition Number Configuration: File Name

    • Method to resolve duplicated rendition numbers: Attach suffix

    • Duplicate Filename handling: Append to Filename

      • (leave the suffixes as DUPL)

    • Back in the Import pop up window, select the destination folder location

      • Use the new file paths as appropriate for your file contents Media Paths Structure
        (most likely Object-Media/2025_Reference or External-Media/2025)

      • You have an option to create a Media Package so that you can review or continue working with these media records after the import.

      • Click to Import (you may want to schedule the import if you are working with a large batch of large files)

      • After the import action, you will return the Media Importer dashboard and should see your Job in the “Active Jobs” section. You can now close the Importer dashboard by clicking the X at the top right.

If you skipped creating a media package, you may find the basic search template (New Media Search) helpful to quickly locate your new files, by entering your login ID (shelby.lakins) and some quick date options like “today”
The search template is available in both TMS and MS

TIP: if you need to batch link yourself as a contributor, or a copyright holder, put the records in your Media Working list, then from TMS, open the constituent record and use the Media – Rendition Related Constituents listed under related records on the left, to batch link the constituent to your media working list.
