Advanced Queries - Quick Guide
The Super Search or "Advanced Query" is the complex query designer to search multiple fields and conditions. These searches (aka "queries") can be saved for frequent use and to populate your personal dashboard with lists or projects you are working on. To open the Search Window, click on the search glass icon next to your user name.
Super Search Window
- Unlike the quick search, you cannot type into the search bar.
- Select the module to search at the left, i.e. objects, exhibitions, or constituents
- To run a saved query, click the dropdown arrow in the search bar and select Query to load it,
- Click the search glass to run your search
- To create a new custom query
- Click the gears to open the query designer
- Use the Query designer (see step by step guide below)
- Click the search glass to run your search
Anatomy of the Query Designer
There are two ways to add search condition lines in the query designer: Field Group and Relationships Diagram.
- Field groups are customized to accommodate typical searches for staff.
- The Relationship diagram requires advanced understanding of the relational database and it's data tables that hold specific information and the relationships between the tables.
Quick Steps
- Click on the gears to open the query designer window
- Select a field group
- Click + to add a search line from a field group
- Select a Field Name to search
- Select the Relation operator (equals, contains, is more than, is less than, etc)
- Enter the term you are looking for in the Field Value
- Continue adding lines as necessary, use and/or to expand or limit your results
- AND must meet all conditions (painting AND Art of the United States)
- OR allows multiple values in results (painting OR sculpture)
- Use Show Record Count to preview your results (if you get 0 records or way too many, check your work and revise)
- Click OK to submit your search, once you return to the Super Search Window you will see "ad hoc query" with a time stamp. Click the search glass to open the list of records you have searched for.
Hints
- to delete a search line tick the box at the left, then click the trash can icon
- you can only select and delete one line at a time
- to search for a phrase or full name use double quotes to enclose, i.e. "Joan Mitchell" or "Stacked Waters"
- Change your View Results As options at the left to start open a list or the data entry view for your first record
