Link Constituents to Objects
Relationships between people (constituents) and objects are facilitated by linking them and defining the relationship to the object, or cross-references (Xrefs). There are three primary cross-reference types: Object Related Constituents, Related Constituents, and Provenance Related Constituents. Multiple constituents can be linked for each Xref type.
Object Related Constituents
These are artists, makers, publishers, and anyone related to the fabrication of the object.
- Open an object record in the data entry view.
- Navigate to the "Tombstone" section of the Cataloguing data view
- Click + to search for and link a constituent
- The Role automatically assigned to a newly linked constituent is "Primary," the default description for makers
- for additional contributors you can change the role to the appropriate description (i.e. architect, publisher, printer)
Related (Non-Maker) Constituents
These are donors, funders, galleries, lenders, curators, registrars or other constituents related to accessioning or borrowing an object.
- Open an object record in the data entry view.
- Navigate to the "Acquisition" section of the Cataloguing data view
- Click + to search for and link a constituent
- The Role automatically assigned to a newly linked constituent is "Donor," change to the appropriate role
Provenance Constituents
Constituents are linked as Provenance Xrefs in order to record and display dates of ownership. There will often be a redundancy when a work is gifted, a donor will be linked in the Related Constituents Xrefs as a "donor" and also in Provenance Xrefs as a "previous owner."
- Open an object record in the data entry view.
- Navigate to the "Acquisition" section of the Cataloguing data view
- Click + to search for and link a constituent
- Change Role to either Artist, Previous Owner, or Gallery/Dealer
- Alternatively, use the action buttons in the record hierarchy in the left column to link a Provenance constituent.
- Once linked, expand to view and select the list of linked records in the record hierarchy
- Enter known begin and end dates in the ISO date fields, and update the Display Date accordingly
